Full Job Description

Overview

The Office Manager supports the executive team and performs routine duties that are vital to the success of the day-to-day operation of NCOAE’s campus in Tygh Valley, OR. This position oversees the admissions process from first inquiry through enrollment and onboarding to student graduation. This role ensures accurate registrations, well-maintained student files, and exceptional customer support. The ideal candidate demonstrates outstanding phone etiquette, clear and confident communication, strong computer proficiency, and a very high level of office administration skills, contributing to an organized, efficient, and welcoming experience for students, families, and partners.

Required Knowledge and Experience (subject to change)

Successful candidates need to have a thorough understanding of NCOAE’s programming, strong customer service, as well as written and verbal communication skills.

NCOAE Office Manager is organized and innovative problem solvers who can consider all possibilities when managing challenging situations and scenarios. The Office Manager also understands and respect the need to default to written procedure, and will ask for help whenever the need should arise.

Major Job Responsibilities

Manage and oversee registrations for EMT and Wilderness Medicine courses held in the NW
Manage end-to-end course arrival and completion logistics, including preparing welcome information, greeting students on the first day, supporting the Program Director in student onboarding, ensuring materials distribution (handbooks, name tags), maintaining classroom supply readiness, and assisting with final-day activities such as class photos and graduation
Oversee students’ clinical rotations
Prepare documents and records necessary for instruction of courses and trainings
Maintain student records, reporting, and compliance in accordance with program requirements
Implement office policies, measure results against standards and make necessary adjustments
Assist the executive team as necessary
Thoroughly, thoughtfully, and efficiently answer questions via phone and email*
Support students while enrolling - enforcing admission policies, criteria and timelines*

Qualifications and Requirements (subject to change)

Must be detailed oriented and organized
Is able to create and maintain a welcoming and supportive student environment
Excellent customer service skills are a strong must
Two (2) years previous clerical experience, preferably with academic, patient, or client records in a medical, legal, or social services setting
Demonstrated success with multitasking and working as an integral part of a high-functioning team responsible for the care and safety of others
Excellent oral and written communication skills, including public presentation and procedure training/demonstration skills. (Knowledge of MS Word/Excel)
Proficient in basic computer operation, including but not limited to navigating the Internet; using programs like Microsoft Word, Excel, and PowerPoint; and corresponding via email and text
Fluency in additional languages—including Spanish—is a plus, but not required
Ability to learn new computer software applications are a requirement
Previous experience with invoicing and office machinery is required

Physical Requirements

Extensive use of computer and the telephone is required, as is the ability to lift and carry approximately 20lbs of equipment.
