Full Job Description

OVERVIEW OF POSITION:

The Medical Receptionist is the first line of communication within an interdisciplinary team for patients who present for procedures/care. Essential duties include providing excellent customer/patient services via phone and in person; referring callers to the appropriate team members; making appointments for patients according to established protocols; assisting patients/clients with forms. This position is considered a crucial link between the patient and the care delivered by clinical and service staff of the clinic. At Family First Urgent Care, the medical receptionist works collaboratively with all clinical services staff in support of direct patient services, exhibiting flexibility and a “can do” attitude. Patient services are the key priority in this position with the goal of fostering an environment which promotes patient comfort and trust. This position must exemplify the core values and mission of the clinic, always exercising utmost discretion, diplomacy, and tact in patient/staff interactions.

JOB RESPONSIBILITIES:

Acts as liaison between provider and patient.
Performs day-to-day administrative functions and general office duties including but not limited to word processing, copying, filing, faxing, answering phones, and data entry.
Provides information to Clinic callers according to the Clinic’s Policies and Procedures; transfer calls as needed; works to always ensure adequate phone coverage.
Welcomes and greets patients/clients/visitors in a manner that is helpful and friendly; determines purpose of visit and directs patients/clients/visitors appropriately.
Schedules patient flow to clinic based on predetermined appointment arrangements to allow the clinic to serve an adequate number of patients.
When scheduling appointment, carefully screens patients for new address, new patient visits or update registration and informs patient of adequate information that must be presented at time of visit.
Performing insurance verification to determine benefits and patient liability.
Maintains patient waiting areas, office files, and front-desk areas in a manner that is organized and neat.
Informs patient of any existing balance noted in computer and request patient to prepare for any payment due at time of visit. In addition, calls patients daily to confirm next day’s appointments.
Respects and maintains levels of patient confidentiality in accordance with HIPAA guidelines.
Calls to obtain any necessary results such as labs, x-rays, in a timely manner or arranges for patients diagnostic testing and admission.
Acts as a referral and teaching model for other medical offices.
Ability to function autonomously: to make decisions, to problem solve, and to comprehend and communicate information both verbally and in writing to patients, families, caregivers, physicians, team members and other community agencies.
Explain patient education and patient health coaching to engage patients in understanding and managing their condition/treatment with emphasis on patients’ self-management of their disease state.
Ability to use an electronic medical record (EMR) to organize clinical and administrative information.
Use, protect, and disclose patients’ protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards
Assists with orientation of fellow employees and any tasks as directed by the Practice Manager.

OTHER FUNCTIONS:

Handles telephone triage for office.
Keeps working environment clean, safe, and organized for patients and staff. Reports any malfunctioning equipment to the appropriate person.
Attends all necessary meetings to be updated on policies and procedures.
Documents all information in the medical record in a legible style, dated and signed with credentials.
Follows OSHA and safety requirements for rooms and documentation.
Performs other duties as assigned, including cross training in other functional areas.
Attends required meetings and participated in events as requested.
Maintains a professional and positive attitude with interacting with patients and other staff members.
Understands the importance of maintaining confidentiality; able to maintain confidentiality under HIPAA standards.
Must have the ability to exercise a high degree of diplomacy and tact; excellent customer services and interpersonal communication skills; Cultural sensitivity and demonstrated ability to work with diverse people groups.
Must be highly flexible; able to accommodate changing needs of the clinic.
Well-developed verbal and written communication skills in English; Additional language abilities desirable. Knowledge of basic math and modern office procedures.
Ability to work well under pressure with minimal supervision. Proven flexibility and willingness to handle a variety of tasks.
Intermediate to advanced computer knowledge and skills.

Pay: From $17.50 per hour
