Personal Assistant to the Chief Executive Officer:

Position Summary
A fast-paced CEO is seeking a highly capable, driven, and adaptable Personal Assistant.
This is not a traditional desk-assistant role, and it is not a lateral hire. The successful candidate will take on progressively greater ownership facilitating the CEO’s activities across personal, corporate, ranch & land management, real estate development, property, and operational responsibilities.
The right candidate will start hands-on: supporting complex corporate initiatives and strategies, preparing for executive meetings, interacting with senior business leaders on behalf of the CEO, assisting with boardroom-level communication, and helping execute real estate, ranch, land management, and property development projects and operations as well as AI-based software projects bound for domestic and international retail distribution. As trust and capability grow, so will responsibility — from execution to completion.
The selected candidate must not only be comfortable in the boardroom and other traditional business settings, but also in the field; from hauling a fifth wheel trailer, operating a tractor, and coordinating property vendors while managing ranch needs, assisting with hunting operations, third-party ranch use, and managing equipment monitoring and maintenance. Prior firearm experience is required, and formal firearm safety training or hunter education is preferred.

About the Opportunity
This position is designed for someone who wants to learn how and support business, leadership, operations, property ownership, land management, real estate development, and entrepreneurship and what it takes to make them succeed— by doing the job and being there as it happens, not observing it.
The role involves direct exposure to high-level decision-making, executive meetings, corporate strategy, business operations, vendor management, real estate projects, ranch and hunting operations, commercial real estate development, and personal logistics for a busy CEO.
The selected candidate will not be watching from the sidelines. This person will be expected to participate, solve problems independently, follow through, and grow deliberately over time.

Key Responsibilities
Executive & Corporate Support
- Provide direct administrative support to the CEO across multiple businesses, projects, meetings, and priorities.
- Coordinate calendars, appointments, calls, meetings, travel, events, and daily logistics.
- Prepare for executive meetings by organizing materials, notes, agendas, documents, reports, and follow-up items.
- Assist with boardroom-level communication, executive presentations, meeting preparation, and business correspondence.
- Interact professionally with executives, business owners, investors, attorneys, consultants, contractors, vendors, and senior-level contacts on behalf of the CEO.
- Track action items, deadlines, commitments, and follow-ups across multiple business and personal matters.
- Assist with corporate research, vendor communication, document organization, project tracking, and business development tasks.
- Attend meetings when needed, take notes, summarize key points, and help ensure follow-through.
- Help coordinate corporate events, business meetings, site visits, and executive-level interactions.
- Handle confidential business and personal information with absolute discretion.
- Assist with special projects, operational initiatives, and problem-solving as needs arise.
- Build the relationships and judgment needed to eventually manage the CEO’s calendar, priorities, and information flow in conjunction with the Chief of Staff.
Personal & Household Support
- Assist with personal scheduling, errands, appointments, vehicles, purchases, deliveries, and daily logistics as needed.
- Coordinate with household vendors, service providers, contractors, repair companies, landscapers, maintenance teams, and other personal service providers as needed.
- Help manage personal projects, family-related logistics, travel plans, events, and special requests as needed.
- Maintain organization and communication across personal, business, property, and ranch-related responsibilities.
- Anticipate needs, identify issues early, and take initiative to resolve them.
- Ensure personal and professional commitments are tracked, organized, and completed.
- Help reduce unnecessary distractions so the entrepreneur can focus on high-value priorities.
Ranch, Land Management & Operations
Part of this role includes hands-on ranch, rural property, and land management tasks in conjunction with dedicated ranch personnel. Candidate must be comfortable working outdoors, operating equipment, and performing physically.
Responsibilities may include:
- Hauling and backing trailers safely.
- Driving and operating trucks, tractors, utility vehicles, side-by-sides, trailers, and basic ranch equipment.
- Assisting with pasture, land, roads, trails, fencing, gates, drainage, ponds, barns, equipment areas, and general property maintenance.
- Coordinating ranch vendors, contractors, mowing, spraying, fencing, road work, land clearing, water systems, equipment service, and other property needs.
- Managing feeders, game cameras, blinds, stands, and hunting-related logistics.
- Helping coordinate hunting operations, including pre-season preparation, feeder checks, stand maintenance, guest coordination, and post-hunt logistics.
- Supporting safe and responsible hunting-related activities, including proper firearm safety practices.
- Monitoring ranch supplies, tools, fuel, feed, equipment, and maintenance needs.
- Performing basic physical work such as lifting, loading, moving supplies, setting up equipment, and helping maintain ranch readiness.
- Helping maintain the ranch and properties at a high standard for family, guests, vendors, and business use.
Real Estate Development & Property Project Support
The role may also include support for real estate, construction, property improvement, and land development projects.
Responsibilities may include:
- Assisting with coordination of contractors, architects, engineers, vendors, inspectors, and consultants.
- Helping track project timelines, budgets, bids, estimates, invoices, permits, punch lists, and follow-up items.
- Attending site visits and helping document progress, issues, and next steps.
- Helping facilitate communication between the CEO, contractors, vendors, and project stakeholders.
- Taking photos, documenting property conditions, and tracking development or maintenance priorities.
- Assisting CEO with due diligence, property research, vendor comparison, and project organization.
Professional Representation
The candidate must be polished, trustworthy, and able to represent the executive well in a wide range of environments.
This may include:
- Communicating professionally with other executives, investors, vendors, attorneys, contractors, employees, guests, and family members on behalf of the entrepreneur.
- Dressing and presenting appropriately for business meetings, ranch settings, executive environments, property visits, and events.

Preferred Qualifications

- Previous experience as executive Personal Assistant.
- Coding and software development experience or proficiency, LLM integration and programming, and technological acumen regarding installation, integration, testing, monitoring, maintenance requirements, and replacement of modern IT related equipment and products.
- Formal firearm safety training, hunter education, license to carry, military firearm training, law enforcement firearm training, or similar documented firearm safety training.
- Hunting and game management experience such as game hunting practices and operations, blinds, feeders, and game cameras operations, and knowledge and experience with hunting logistics, hunting-season preparation, ranch operations, ranch equipment, trailers, tractors, and outdoor property work.
- Prior work experience in ranching, construction, agriculture, logistics, real estate, property management, family business, entrepreneurship, military, or operations.
- Strong understanding of Texas ranch culture, hunting culture, rural property needs, and land stewardship.
- Ability to communicate confidently with both corporate executives and ranch contractors.
- Experience coordinating vendors, contractors, maintenance teams, or property projects.

Work Environment
This role will include a mix of:

This is not a 100% office job and not a 100% outdoor job. It is a hybrid role for someone who can move comfortably between both worlds.
Schedule
This is a full-time position. The schedule may vary based on business needs, personal needs, ranch needs, property needs, events, travel, hunting season, and special projects.
Flexibility, responsiveness, and availability are important.
Evening or weekend availability may occasionally be needed based on travel, events, ranch operations, hunting season, property projects, or business priorities.
Compensation
Compensation is competitive and structured to increase based on experience, maturity, capability, education, ranch/outdoor skills, firearm safety experience, professional polish, judgment, and reliability.
Compensation range:
$55,000 to $75,000 base salary, depending on qualifications and experience.
Exceptional candidates with meaningful executive support, operations, ranch, real estate, construction, project management, software, or leadership experience may be considered above the listed range.
Additional compensation and benefits may include:
- Performance-based bonus opportunity: $5,000 to $15,000 annualized, based on reliability, execution, discretion, initiative, project follow-through, ranch/property readiness, and ability to reduce demands on the executive's time.
- Vehicle access: Access to a company or ranch vehicle for approved business, ranch, property, and executive-support-related use.
- Mileage reimbursement: Reimbursement for approved business mileage when a personal vehicle is used.
- Business expense reimbursement: Reimbursement for approved business, ranch, property, and executive-support-related expenses.
