Physical Therapy Clinic Receptionist

Position: Front Desk Receptionist / Patient Coordinator
Setting: Outpatient Physical Therapy & Rehabilitation Clinic
Employment: Full-Time / Part-Time

Position Summary

We are seeking a professional, organized, and dependable Physical Therapy Clinic Receptionist to manage front-desk operations and provide excellent service to patients, providers, referral offices, attorneys, and insurance representatives. The ideal candidate should be comfortable working in a busy healthcare environment, handling multiple responsibilities, and maintaining accurate patient information.

Primary Responsibilities

Greet patients professionally and manage patient check-in and check-out.
Answer incoming telephone calls, take messages, and route calls appropriately.
Schedule initial evaluations, follow-up visits, re-evaluations, and other appointments.
Confirm appointments and follow up with patients regarding cancellations and missed visits.
Register new patients and ensure demographic and contact information is accurate.
Collect and review new-patient paperwork, identification, insurance cards, referrals, prescriptions, and other required documents.
Verify insurance information and assist with obtaining benefits and authorization information when assigned.
Collect copays, deductibles, self-pay balances, and other patient payments as directed.
Scan, upload, fax, and organize medical records and incoming documents.
Communicate with referring physicians and medical offices regarding prescriptions, referrals, plans of care, and required documentation.
Assist with medical-record requests and properly route requests for processing.
Maintain accurate information in the clinic's EMR and scheduling system.
Notify clinical staff when patients arrive or when scheduling issues require attention.
Help maintain therapist schedules and maximize appropriate appointment utilization.
Contact patients regarding missed appointments and assist with rescheduling.
Maintain a clean, organized, and professional reception and waiting area.
Protect patient confidentiality and follow HIPAA and clinic privacy policies.
Perform additional administrative and clerical duties as assigned by clinic management.

Preferred Qualifications

High school diploma or equivalent required.
Previous medical office, physical therapy, chiropractic, rehabilitation, or healthcare front-desk experience preferred.
Experience with EMR/EHR and medical scheduling software preferred.
Basic understanding of health insurance, referrals, authorizations, and medical terminology is beneficial.
Strong telephone and customer-service skills.
Good computer, typing, scanning, faxing, and data-entry skills.
Ability to multitask and remain organized in a fast-paced clinic.
Strong attention to detail and accuracy.
Professional appearance and communication skills.
Dependable, punctual, and able to work effectively as part of a healthcare team.
Bilingual English/Spanish is a plus.

Key Performance Expectations

The receptionist is expected to maintain accurate scheduling, minimize avoidable appointment gaps, promptly address missed appointments, maintain complete patient registration information, respond professionally to calls and visitors, and ensure front-office documentation is handled accurately and efficiently.

Ideal Candidate

The ideal candidate is friendly but professional, highly organized, detail-oriented, comfortable communicating with patients, and proactive about keeping the clinic schedule running efficiently. Experience in a physical therapy or rehabilitation clinic is highly desirable.
