Full Job Description

JOB TITLE: Administrative Assistant

DEPARTMENT: Administration

SUPERVISIOR: Human Resource Manager

PAY SCALE: Salary

GENERAL DESCRIPTION:

The Administrative Assistant position supports daily operations of the Human Resources Department including: scheduling, coordinating, and conducting staff training sessions in order to facilitate the onboarding process for the new hires. The Administrative Assistant shall also monitor compliance and maintain such staff education and licensing information records for the organization. Also, provides administrative support to the management team including the scheduling of meetings as well as preparation of correspondence, minutes, spreadsheets, and the like. Greets and directs visitors in a professional and courteous manner both on campus and at special events

Executive Director Support

Manage the Executive Director’s calendar, including scheduling internal and external meetings
Coordinate logistics for board, committee, and leadership meetings (scheduling, materials, follow-ups)
Draft, format, and distribute correspondence, reports, and presentations
Track action items and follow-ups from meetings to ensure completion
Serve as a point of coordination between the ED and staff, board members, and external partners
Maintain organized records and files for the ED (digital and physical)

Training & Compliance Coordination

Maintain a centralized system to track all employee training requirements (initial and ongoing)
Monitor due dates and ensure staff remain current on required trainings (HIPAA, safety, licensing, etc.)
Send reminders and follow up with staff and supervisors on outstanding trainings
Coordinate scheduling of trainings (internal and external)
Maintain documentation of completed trainings for compliance and audit purposes
Assist leadership in identifying gaps or upcoming compliance needs

Administrative & Organizational Support

Support office operations including document management, supplies, and general coordination
Assist with preparation of reports, including pulling basic data and formatting
Help maintain organizational systems (shared drives, templates, tracking logs)
Support onboarding logistics for new hires (paperwork coordination, training setup, scheduling)
Provide general administrative support across departments as needed

Qualifications

Strong organizational skills with attention to detail
Ability to manage multiple priorities and follow through without constant direction
Strong written and verbal communication skills
Comfortable working with confidential information and maintaining discretion
Proficiency in Microsoft Office/Google Workspace (or similar systems)
Experience with tracking systems or databases preferred (training/compliance tracking a plus)
