Job Summary
SkinAct Inc. and Spa & Equipment are seeking a detail-oriented and motivated Junior Accountant / Purchasing & Inventory Coordinator to join our growing team. This position is ideal for a recent graduate or an individual with 1-3 years of experience in accounting, inventory management, purchasing, or operations.
The successful candidate will assist with accounting functions, inventory management, purchasing, factory communications, vendor relations, warranty claims, and order coordination. This is an excellent opportunity to grow within a fast-paced e-commerce, distribution, and manufacturing company.
ResponsibilitiesAccounting Duties
- Process accounts payable (AP) and accounts receivable (AR)
- Reconcile bank accounts and credit card statements
- Review vendor invoices and ensure accurate coding
- Assist with month-end and year-end closing activities
- Maintain financial records and accounting documentation
- Assist with financial reporting and accounting projects
- Support the accounting department with daily administrative tasks
Purchasing & Inventory Management
- Monitor inventory levels and identify products requiring replenishment
- Create and submit purchase orders to domestic and international vendors
- Analyze inventory levels, sales trends, and lead times to recommend reorder quantities
- Track inbound shipments and update inventory records
- Maintain accurate product costs and inventory data
- Conduct inventory audits and investigate discrepancies
- Generate inventory and purchasing reports for management
Factory & Vendor Coordination
- Communicate daily with domestic and international factories regarding inventory requirements, production schedules, and shipment updates
- Follow up with suppliers to ensure timely production and delivery of orders
- Coordinate replacement parts, warranty claims, and factory support requests
- Report damaged, defective, missing, or incorrect products to factories and suppliers
- Prepare detailed reports of damaged merchandise, including photographs, videos, serial numbers, and supporting documentation
- Work directly with factories to obtain credits, refunds, replacement products, or replacement parts
- Track and manage open claims until resolution
- Coordinate container shipments, inbound inventory, and backorder management
- Maintain professional relationships with suppliers and factory representatives
- Assist with sourcing new products and obtaining quotations from vendors
Administrative & Communication Duties
- Draft professional emails and correspondence with vendors, factories, customers, and internal departments
- Maintain organized records of purchase orders, invoices, warranty claims, and supplier communications
- Coordinate with accounting, warehouse, customer service, and sales teams to resolve inventory and purchasing issues
- Provide regular updates regarding outstanding orders, claims, inventory shortages, and supplier performance
Qualifications
- Associate's or Bachelor's Degree in Accounting, Finance, Business Administration, Supply Chain, or related field preferred
- 1-3 years of accounting, bookkeeping, purchasing, inventory management, or operations experience preferred
- Strong Microsoft Excel skills
- Excellent written and verbal communication skills
- Strong attention to detail and organizational skills
- Ability to multitask and manage multiple projects simultaneously
- Strong problem-solving and follow-up skills
- Experience with QuickBooks, ERP systems, inventory software, or e-commerce platforms is a plus
Compensation & Benefits
- $27 - $35 per hour, depending on experience
