We’re looking for an organized, detail-oriented, and accurate Purchasing Manager – Scheduling Manager. Knowledge of bathroom products is required.

The key metrics of this position are to ensure all products are ordered accurately, permits have been obtained by the appropriate team members, the project schedule is actively maintained, and clients are kept informed of their start dates so that job timelines can be met.

Responsibilities

Schedule Management

Maintain and update the master project schedule to reflect current job statuses and timelines.
Proactively communicate start dates to clients and confirm their acceptance of scheduled dates.
Follow up with clients to ensure start dates are approved and address any scheduling conflicts promptly.
Coordinate with the internal team to align product delivery and permitting timelines with the project schedule.

Permit Oversight

Verify that the appropriate team members have obtained all required permits from the relevant municipalities prior to job start.
Track permit status across all active projects and escalate any delays that could impact start dates.

Product Cross-Check

Review all drawings and Client Order forms to identify any design or product questions or issues.
Review all Change Orders to ensure that any changes made after the sale are reflected in the order.

PO Creation and Ordering

Create Pre-Purchasing POs and send to vendors for quotes prior to ordering.
Compare quotes to internal pricing for verification against known pricing multiples.
Report discrepancies and/or update pricing in the system.
Create order POs and send to vendors with delivery dates.
Verify dates with the job schedule.
Ensure all product arrives at least 2 weeks prior to job start.

Warehouse Coordination

Coordinate with the Warehouse Manager to confirm all products have been received.
If any products are missing or delayed, take immediate action to resolve the issue and prevent impact to the job start date.

Returns

Manage returns and ensure credit memos are issued in a timely manner.

Shopping & Vendor Management

Verify the best pricing for the best products and services.
Search for alternative vendors and products of equal or better quality.

Change Order Product Ordering

Order products for Change Order work AFTER an approved change order has been received from the client. Change Order Product Ordering

Accounting Coordination

Work closely with Accounting to help ensure billing, job costing, and purchasing records are accurate.

Requirements

Procurement: 3 years (Required)
Purchasing: 3 years (Required)
English proficiency (Required)
Strong organizational and communication skills
Knowledge of bathroom products (Required)
Experience with client communication and scheduling preferred
