Summary - The Plan Associate I is responsible for working alongside Plan Management to administer various employee benefit plans, including Health & Welfare, Pension, Vacation, Apprenticeship and Supplemental Unemployment Benefit Funds. The position is considered “non-exempt” under the Fair Labor Standards Act.
Essential Duties and Responsibilities include but not limited to
- Applicant must be highly organized with an eye for detail.
- Candidate must have proficient computer skills in Microsoft Office with above average skills in Word and Excel.
- He/she must have the ability to interact with other departments.
- Exercise discretion in all matters relating to administration, including Fund financial and investment information, Trustee concerns and participant appeals.
- Candidate must be available to travel to off-site meetings when necessary.
- Manage payables for the entire book of business.
- Regular and predictable attendance is an essential function of this job.
Day-to-Day Responsibilities
- Open and sort all Fund correspondence; process all invoices received for the Funds, including monthly or quarterly billings from vendors, legal counsel, investment managers, investment consultants, health-care providers, etc.
- Responsible for maintaining, tracking and reporting of the RDS Medicare Part D applications including filing, reconciliation, weekly notifications, weekly downloads and requesting payments and reporting to the Trustees regarding same.
- Set-up and maintain administrative paper and electronic files (scanning) including meeting files and offsite storage.
- Prepare monthly ad-hoc reports for Trustees and locals utilizing Excel.
- Uploading documents to iPads and to Trustee/participants websites and keeping iPads organized.
- Proofreading forms, minutes, letters, and reports.
- Updating of the intranets Fund Viewer, which includes ensuring Plan documents, SPD’s, amendments, participant notices and plan changes are current.
- Assist in drafting and coordinating all employer and participant mailings to notify of any benefit changes, rate changes, etc. including notification to Locals.
- Assist in drafting, preparing and coordinating all other fund specific annual mailings and notifications, Summary Annual Reports and Summary Material Modifications. This includes coordination with Support requesting data files and mail merge files.
- Responsible for coordinating participant website information including all participant mailings, current plan documents (SPD, amendments), benefit change notices, vendor notifications, FAQ’s and any other relevant information.
- Coordinate with and assist the Funds’ annual auditors by providing necessary data – minutes, plan documents, copies of checks, etc.
Board of Trustee Meetings Responsibilities
- Assist in preparing information and reports for the meeting agendas; prepare and distribute meeting notices for each Fund which includes the minutes from the previous meeting, tentative agendas, current financial statements and bills for ratification.
- Responsible for notification, scheduling, and confirmation of guests and vendors that are invited to attend meetings.
- Coordinate scheduling of meetings on company calendar.
- Assist in updating BeneSys barometers and fund specific reports utilizing Excel and Word.
Education and/or Experience - High School diploma or equivalent required, college degree preferred. Candidate must have some administrative experience, be computer literate possessing an intermediate knowledge of Microsoft Office with an advanced knowledge of Word and Excel including experience in graphing and charting features.
Communication Skills - Ability to read, analyze and interpret general correspondence. Ability to prepare reports, draft meeting minutes and correspond with Fund vendors, participants and Trustees. Ability to effectively communicate information and understand information presented orally. Candidate must be able to prioritize and respond to calls and emails from managers, clients, vendors and participants in a timely, concise, professional manner.
Reasoning Skills - Ability to interpret and organize information and present instructions in either written or oral form to address and resolve problems timely and accurately. Ability to interpret Plan Documents and apply and adhere to the procedures in correspondence and day-to-day fund administration.
Work Schedule - Full time. Monday - Friday, 8:00am - 5:00pm. Requires in-office days but also offers at-home flexibility after 90 days.

Pay - The salary is $55,000 yearly and is dependent on location, experience, skills, education and other business factors.
