Full Job Description

Position Summary

Join us in transforming behavioral health, leading patient care, and significantly impacting mental health.

The Lead Licensed Practice Nurse/Medical Assistant serves as the clinical operations leader for the medical assistant and nursing team within the practice. In addition to providing direct patient care, this position coordinates daily clinical operations, promotes workflow efficiency, supports providers, mentors clinical staff, ensures regulatory compliance, and serves as the primary liaison between clinical and administrative departments.

The Lead Licensed Practice Nurse/Medical Assistant models excellence in patient care, professionalism, accountability, and teamwork while supporting the organization's mission of delivering exceptional behavioral health services.

Additional Leadership Responsibilities

Clinical Leadership

Lead daily clinical operations to ensure efficient patient flow and provider support.
Assign and coordinate daily responsibilities of Medical Assistants and nursing staff.
Serve as the primary clinical resource for questions regarding workflows, patient care, and office procedures.
Assist providers in improving clinic efficiency and patient satisfaction.
Monitor quality of patient care and documentation standards.
Assist with implementation of new clinical workflows and best practices.
Participate in quality improvement initiatives and performance improvement projects.

Staff Supervision & Development

Assist with onboarding and orientation of newly hired clinical staff.
Provide training and mentoring for Medical Assistants and nurses.
Conduct competency assessments and skills validation.
Monitor employee performance and communicate coaching opportunities to leadership.
Assist management with annual performance evaluations.
Promote teamwork, professionalism, accountability, and positive workplace culture.
Help resolve workflow issues and interpersonal concerns within the clinical team.

Behavioral Health Responsibilities

Administer and document behavioral health screening tools including:
PHQ-9
GAD-7
Columbia Suicide Severity Rating Scale (C-SSRS)
Mood Disorder Questionnaire (MDQ)
Adult ADHD Self-Report Scale (ASRS)
Additional screening tools as directed by providers
Monitor completion of outcome measures required for treatment planning.
Coordinate medication monitoring visits.
Assist providers with medication refill protocols.
Coordinate prior authorizations for psychiatric medications.
Monitor controlled substance agreements and protocols in accordance with practice policy.
Educate patients regarding psychiatric medications, potential side effects, treatment expectations, and medication adherence.
Recognize behavioral health crises and initiate appropriate emergency protocols.
Coordinate care with therapists, primary care providers, pharmacies, hospitals, and community agencies.
Assist patients with telehealth appointments and technology troubleshooting.

Compliance & Risk Management

Ensure compliance with HIPAA, OSHA, CMS, state regulations, accreditation standards, and practice policies.
Monitor infection prevention and control practices.
Maintain clinical equipment, emergency supplies, medication storage, and vaccine documentation.
Participate in chart audits and documentation quality reviews.
Report safety concerns, adverse events, and compliance issues promptly.

Operational Management

Monitor clinical supply inventory.
Assist with ordering medical supplies and maintaining inventory.
Collaborate with billing staff regarding documentation deficiencies affecting reimbursement.
Assist management with development and implementation of clinical policies and procedures.
Participate in provider meetings and coordinate clinical operations meetings for the team members.
Recommend workflow improvements to increase efficiency and patient satisfaction.

Preferred Qualifications

Three (3) or more years of outpatient clinical experience.
Minimum of two (2) years in a leadership or supervisory role preferred.
Experience in psychiatry, behavioral health, or primary care preferred.
Experience using electronic health records (EHR).
Knowledge of insurance prior authorizations and psychiatric medication management.
Strong leadership, coaching, conflict resolution, and organizational skills.
Excellent verbal and written communication skills.
Ability to lead multiple priorities in a fast-paced outpatient environment.
