Full Job Description

Job Summary

Armadio Inc. is hiring a Cabinet Administrative Assistant to support daily business operations, customer communication, marketing coordination, bookkeeping assistance, filing, and executive-level administrative tasks.

This is a long-term, high-trust role for someone extremely organized, detail-oriented, and comfortable handling a wide variety of responsibilities. The right person will work closely with company leadership and help keep projects, paperwork, communication, and internal processes moving smoothly.

This position is best suited for someone who enjoys being the person who “keeps things together” behind the scenes.

Key Responsibilities

The Cabinet Administrative Assistant will assist with:

Administrative Support

Maintain organized digital and physical filing systems.
Prepare, scan, save, and organize documents.
Track deadlines, follow-ups, forms, and internal tasks.
Assist executives with scheduling, communication, notes, and project tracking.
Keep office records accurate and easy to find.

Customer Service

Communicate professionally with customers, vendors, contractors, and internal team members.
Answer calls, respond to emails, and route requests appropriately.
Follow up on customer questions, order updates, and service needs.
Help create a professional and reliable customer experience.

Marketing

Create social media posts, flyers, email campaigns, product information, and basic promotional materials.
Help keep company branding, documents, and marketing materials organized.
Coordinate updates to brochures, spec sheets, online listings, and sales materials.
Support events, mailers, and other outreach efforts as needed.

Bookkeeping Assistance

Assist with basic bookkeeping support, including organizing receipts, invoices, statements, and payment records.
Help with data entry, vendor/customer records, and account documentation.
Work with leadership, accounting staff, or outside accountants to keep financial paperwork organized.
Support AR/AP follow-up as assigned.

Operations Support

Help track orders, vendor communication, internal requests, and project details.
Assist with spreadsheets, reports, checklists, and process documentation.
Support company systems, forms, and general office organization.
Take ownership of recurring administrative tasks and improve systems over time.

Ideal Candidate

Professional with customers, vendors, and executives.
Able to maintain confidentiality.
Reliable, consistent, and interested in a long-term role.
Comfortable with technology, spreadsheets, email, and digital filing.
Willing to learn company systems and improve office processes.
Good at following through without needing constant reminders.
Calm under pressure and able to prioritize.
Comfortable learning and using AI tools to assist with writing, organization, research, documentation, spreadsheets, and process improvement.
Able to use AI thoughtfully while still reviewing work carefully for accuracy, tone, and professionalism.
Interested in improving workflows through technology and automation.
Open to learning new systems and helping the company build smarter internal processes.

Required Experience

Administrative, office, or executive support experience.
Customer service experience.
Basic marketing or social media experience.
Filing, document organization, or records management experience.
Basic bookkeeping, invoicing, QuickBooks, accounting support, or AR/AP exposure preferred.
Strong computer skills, including email, Google Workspace or Microsoft Office, and spreadsheets.

Preferred Experience

Experience in construction, cabinetry, manufacturing, design, wholesale, logistics, or a similar business.
Experience supporting executives or business owners.
Experience with QuickBooks, ADP, CRM systems, ERP systems, Canva, Adobe Express, or social media platforms.
Experience creating or maintaining organized office systems.

Important Note About the Role

This is a broad support role. The person hired should be comfortable helping wherever administrative support is needed, while also taking ownership of recurring responsibilities. This is not a short-term stepping-stone position; we are looking for someone who wants to grow with the company and become a trusted part of the leadership support team.

Pay: $18.00 - $25.00 per hour
