Full Job Description

Overview
The Administrative Assistant to the Senior Pastor & Office Support manages a wide range of administrative related tasks for the Senior Pastor and general office operations. This is a dynamic and multifaceted role with a broad scope of responsibility and accountability. This role interacts with all levels of internal staff, church members, visitors, and external church relationships. The Administrative Assistant upholds professionalism, confidentiality, and a spirit of service that helps to strengthen pastoral leadership and support the church’s mission through effective administration.

Responsibilities

Support the Senior Pastor by managing the pastor’s calendar, appointments, correspondence, and serving as a key liaison to ministries, committees, and church members. It also includes preparing for weekly worship and sacraments, coordinating logistics for weddings, funerals, baptisms, and other pastoral services, and providing communications support to staff, the congregation, and community partners.
Serve as a welcoming point of contact for visitors, guests, and those seeking information or meetings with the Senior Pastor and/or Associate Pastor, offering hospitality and attentive support.
Oversee the daily operations of the church reception area by answering phones (including the Senior Pastor’s line), managing office email, greeting visitors with hospitality, coordinating office activities, and receiving and distributing mail and deliveries. Maintain office and worship supply inventories, updates the church calendar and communication platforms, and supports volunteer coordination for mailings and office projects. Coordinate meals, accommodations, and logistical details for meetings, events, and programs.
Manage the church’s data system (CCB) by maintaining accurate membership records, attendance data, pastoral‑care updates, and the master church calendar, while also coordinating files, documents, and communications such as committee notices and welcome letters.
Support the administrative function by preparing annual reports and audits, organizing records for meetings and programs.
Provide administrative support to the Church Council by preparing meeting notices, agendas, minutes, and follow‑up communications, while maintaining organized records of council decisions and strategic goals. Assist with annual reports, audits, denominational conference materials, and support strategic planning efforts by coordinating documentation, timelines, and communication with staff and lay leaders.

Willingness to work evenings and weekends on an occasional basis and/or as required.

Minimum Qualifications

The desire to serve Christian ministry through administrative/clerical support work at Epworth United Methodist Church.
Work experience in a church or non-profit preferred.
College degree from an accredited college or university, or an equivalent combination of education and training.
Three (3) to Five (5) years’ experience in office administration and leadership support
Pass a background check

Pay: $17.00 - $20.00 per hour
