Job Summary

We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and clients, manage a busy front desk, and provide essential administrative support across various departments. Your proactive approach and excellent organizational skills will ensure smooth office operations, foster positive client interactions, and contribute to a productive work environment. This paid position offers an exciting opportunity to develop your office management expertise while supporting our company's daily functions.

Responsibilities

Greet visitors, clients, and vendors warmly and professionally, ensuring a positive first impression.
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette.
Handle incoming correspondence, including emails, mail, and packages, with accuracy and promptness.
Maintain organized filing systems, both electronic and paper-based, ensuring easy retrieval of documents.
Perform data entry tasks with high accuracy using spreadsheets and productivity software like Microsoft Office.
Support office management activities such as scheduling appointments, coordinating meetings, and managing calendars.
Assist with bookkeeping tasks using QuickBooks or similar accounting software to process invoices and track expenses.
Provide customer service support by addressing inquiries promptly and professionally, ensuring client satisfaction.
Conduct proofreading of documents for clarity and correctness before distribution.
Support administrative projects as needed, demonstrating strong time management and organizational skills.

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills.
Experience with multi-line phone systems and excellent phone communication skills.
Ability to perform data entry accurately and efficiently in spreadsheets or databases.
Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
Demonstrated office management experience with strong organizational skills.
Familiarity with QuickBooks or other accounting software for basic bookkeeping tasks.
Exceptional customer service skills combined with professional phone etiquette.
Strong typing speed with attention to detail for proofreading and document preparation.
Proven ability to handle clerical tasks such as filing, document management, and time-sensitive projects.
Personal assistant or administrative experience that showcases multitasking abilities in a fast-paced environment.
