Full Job Description

The Toledo Clinic's Dermatology Department (Nahhas Dermatology) is seeking a full-time Receptionist/Administrative Assistant to provide front office support in a busy medical office. This position will be scheduled Monday - Thursday (7:00am - 4:30pm). Previous experience in a medical office, preferably Dermatology, is preferred.

General Summary

Provides friendly, professional support to patients while managing scheduling, phones, check in/check out, and general administrative duties. Assists with skincare product sales and maintains an organized, welcoming office environment.

Works under the supervision of the Office Manager.

Essential Duties & Responsibilities

Consistently arrives at work on time and adheres to regular work schedule.

Greet patients warmly and professionally and creates a welcoming experience.
Checks patients in and out accurately and efficiently.
Answer incoming calls, route messages, and assist with general patient questions.
Schedule, confirm, reschedule, and cancel medical and cosmetic appointments.
Verify patient demographic and insurance information.
Collect copays, balances, cosmetic payments, and other patient payments.
Maintain patient confidentiality and follow HIPAA requirements.
Assist patients with forms, portal access, and general practice information.
Communicate professionally with patients both in person and by phone.
Serve as a knowledgeable resource for the practice's professional skincare products.
Proactively engage patients regarding skincare products and current promotions.
Assists the Office Manager and Providers with day-to-day administrative needs.
Scan, upload, organize, and maintain patient documents and records.
Monitor incoming faxes, correspondence, and administrative requests.
Maintain an organized and professional reception and waiting area.
Assist with office and retail supply inventory.
Perform additional clerical and administrative duties as needed.
Work collaboratively with clinical staff to maintain efficient patient flow.

Required:

Professional and polished communication style.
Comfortable discussing and selling skincare products.
Strong organizational skills and attention to detail.
Ability to multitask in a busy medical office environment.
Comfortable using computers, electronic health records, scheduling systems, and point-of-sale systems.
Dependable, punctual, and able to work effectively as part of a small team.
Excellent communication, phone, and organizational skills required.
Computer skills helpful.
Seeks appropriate tasks when primary tasks are completed and assists co-workers as needed.
Demonstrates adaptability to expanded roles.

Education:

HS diploma or GED.

Preferred:

Previous medical office, dermatology, aesthetics, retail, or customer service experience preferred
