Job Responsibilities:

Education
-
Implements course evaluation criteria and monitoring procedures for continuing education and pre-license programs under supervision of education/licensing director. Responsible for maintaining school information and publishing listing of approved schools and courses. Compile data for required education reports, including commission meetings, and make recommendations for improvement. Perform research, prepare analysis, and make initial evaluations and recommendations for process improvement to education procedures. Conduct overview of course applications, highlight content issues, and return to applicant for remediation.

Process courses and send to education/licensing director for final review. Review and process individual requests for CE. Process school course schedules and add to calendar. Follow up on expired post-secondary education certificates. Process yearly course renewal applications and follow up as necessary. Maintain department forms and certificates. Monitor course completion submissions and assist with issues. Email schools of noncompliance and track violations by school. Inform education and licensing director and draft Directives when non-compliance notice needs to be sent to a school. Track content in commission-prescribed course outlines. Suggest improvements to education/licensing director and organize education task force for revisions. Manage registration and track completion of participants in compliance courses. Regularly review education provider and association websites and Pearson student handbook to ensure licensing instructions are accurate and notify education and licensing director of discrepancies.

Serve as back up in answering phones and triage incoming calls to appropriate staff when needed. Respond to education and licensing inquiries and provide consultation in a manner that shows superior customer service. Review and process license applications, affiliation changes, supervising broker changes, and requests to open/close companies to ensure all requirements are met and guidelines for issuance are followed. Contact applicant or licensee for missing items. Update record to reflect receipt of documents and fees. Monitor lockbox for problematic transactions in Accela. Prepare refunds due to overpayment. Maintain department forms.

Communication and Outreach

Monitor KREC Education inbox and provide support for higher-level Accela-related questions. Monitor trends in frequently asked questions and make recommendations for changes/clarification to education/licensing director. Assist with KREC inbox when needed. Schedule and draft content for review by education/licensing director for agency social media accounts based on data-driven marketing research and agency mission. Research and draft topics for review for inclusion in agency newsletter, educators update, and other materials. Represent the agency by planning, coordinating and/or participating in meetings, conferences, and other education and public outreach-related events. Create and maintain procedure manuals for internal/external use. Create and disseminate bi-monthly interoffice staff newsletter. Communicate frequently with education/licensing staff regarding work schedule and availability to ensure office coverage. Participate in education/licensing department meetings. Coordinate in-service training sessions or related activities.

Assists with keeping current content on the agency website. Update education/licensing reports on website. Serve as Records Retention and Open Records Officer. Interpret policy and recommend changes and updates regarding the requirements of record retention of the agency. Develop, disseminate, and train other staff regarding the requirements of retention of records. Ensure that state standards and regulations are being followed. Ensure proper disposal of records aged beyond the requirements of retention standards. Assist executive director with compiling data for required reports. Perform research, prepare analysis, and make initial evaluations and recommendations for improvement to administrative procedures. Prepares correspondence for executive review and signature.

Minimum Qualifications

High School Diploma or GED

Four years of experience in field of education, real estate, or administrative support work

Experience or licensure in real estate
