Compensation:

Salary Range: $28.00 - $30.75/hr

Position Summary
The Procurement Systems Analyst supports the Office of Procurement and Contracts (OPC) by performing accounting, financial tracking, and vendor reporting functions within the procurement framework. This role focuses on analyzing accounting data, tracking expenditures, generating vendor reports, and contributing to operational efficiencies. The analyst collaborates with procurement, finance, and other stakeholders to ensure accurate reporting and streamlined processes for procurement operations. In addition, the analyst provides operational assistance to agencies with SMART requestions, facilitating data validation, reporting, and transaction support to ensure timely and accurate procurement-related accounting.
Duties and Responsibilities

Generate and maintain accurate procurement and financial reports, dashboards, and metrics for internal and external stakeholders. Including the accurate accounting of vendor submitted administrative fees.

Assist with the tracking of departmental expenditures, monitor budget alignment, and ensure accurate accounting of procurement transactions.

Analyze vendor activity and prepare vendor reports to support contract management and cooperative agreements.

Assist in financial reconciliation, including matching invoices to purchase orders and reviewing payment schedules.

Support workflow improvements and operational efficiency initiatives by identifying process bottlenecks or inaccuracies in accounting and reporting.

Maintain documentation of procurement-related financial processes, accounting entries, and vendor interactions.

Provide guidance and training to departmental staff on reporting tools, data entry, and procurement finance procedures.

Provide operational assistance to agencies submitting SMART requests, including validating, processing, and documenting transaction data as part of collaborative workflow support.

Ensure compliance with relevant state accounting regulations and procurement policies.
Required Qualifications
-
Post-secondary education in Accounting, Finance, Business Administration, or related field; equivalent professional experience may substitute.
-
Minimum of 3 years of experience in accounting, financial reporting, or procurement finance functions.
-
Experience with financial reporting tools and data visualization software (Excel, Power BI, Tableau, or equivalent).
-
Strong analytical skills with attention to detail in financial tracking and reporting.
Preferred Qualifications

Experience with procurement or accounting software; familiarity with state of Kansas SMART ERP system.

Knowledge of vendor management, cooperative agreements, and contract-related finance principles.

Effective verbal and written communication skills for collaborating within and outside the department.
