Role: Temporary Executive Assistant (Notary Required)

Location: Santa Monica, CA

Schedule: Hybrid (Monday–Thursday in office, Friday remote)

Employment Type: Temporary Contract (2 months), potential temp-to-hire

Pay Rate: $45/hour

About the Opportunity

A fast-growing real estate developer focused on the development, investment, and operation of affordable housing is seeking a self-directed Executive Assistant to provide temporary coverage for a leave of absence. This is an immediate, 2-month assignment supporting a senior finance executive and a senior HR executive, with the possibility of extension or conversion to a permanent role supporting a different executive or team.

The organization operates in a fast-paced, entrepreneurial environment and is experiencing substantial growth.

Key Responsibilities

Provide high-level administrative and notary support to senior executives.
Perform notarizations as part of regular workload (active notary commission required).
Manage complex calendars, including scheduling internal and external meetings.
Monitor, triage, and route email communications; follow up on pending approvals.
Coordinate domestic and/or international travel arrangements.
Prepare documents, correspondence, and materials using Microsoft 365 (Excel, Outlook, Teams, etc.).
Serve as a responsive, reliable point of contact for time-sensitive requests.
Collaborate closely with other Executive Assistants to ensure seamless coverage and support.
Perform other duties as assigned.

Qualifications

Active Notary Public commission required.
Prior experience supporting C-level or senior executives in a fast-paced setting.
Experience in financial services (e.g., real estate, private equity, venture capital, investment management) preferred.
Strong proficiency with Microsoft 365 applications, including Excel, Outlook, and Teams.
Excellent written and verbal communication skills.
Demonstrated professionalism, discretion, and executive presence.
Highly organized, detail-oriented, and able to manage competing priorities.
Comfortable working independently with minimal oversight.
Available to start quickly, potentially as soon as a background check is completed.
