Full Job Description

Position Summary

The Project Coordinator supports the Project Management team by coordinating vendor setup, customer account setup, retail item onboarding, product data management, and the administrative activities required to bring physical consumer products to market.

This role requires prior experience working in the Consumer Packaged Goods (CPG) industry with physical consumer products sold through retail channels. The ideal candidate has experience supporting products in categories such as beauty, personal care, oral care, wellness, accessories, fashion, or other retail CPG categories.

The Project Coordinator works cross-functionally with Product Development, Supply Chain, Quality, Regulatory, Sales, Packaging/Creative, and Shipping/Logistics to ensure product information, documentation, samples, item setup, and customer requirements are completed accurately and on time.

This position serves as the department's Vendor & Item Setup Specialist, while also providing day-to-day operational and project coordination support to the Project Management team.

Responsibilities Product & Retailer Setup

Set up and maintain customer and vendor accounts across retailer, distributor, and customer portals.
Coordinate new product and item setup requirements for retail customers, distributors, and internal systems.
Coordinate product information requirements including UPCs, dimensions, case packs, product descriptions, pricing, specifications, packaging information, and other required data.
Maintain accurate product and item information throughout product launches and ongoing product changes.
Monitor customer-specific requirements and ensure submissions are completed accurately and within required timelines

Cross-Functional Product Coordination

Work cross-functionally with Product Development, Supply Chain, Quality, Regulatory, Sales, Packaging/Creative, Operations, and Shipping/Logistics to collect and coordinate information required for product launches.
Follow up with internal departments to obtain product specifications, regulatory information, packaging details, pricing, UPCs, quality documentation, shipping requirements, and other required launch information.
Coordinate the flow of information between Project Management and internal departments to keep product launches and customer requirements moving forward.
Support Project Managers with product launch activities, running changes, customer requests, and other project-related tasks.

Samples, Shipping & Logistics

Order and coordinate product samples.
Prepare, package, and ship samples and documents using FedEx and other carriers.
Maintain accurate records of sample requests, shipments, and related documentation.

Required Qualifications

Previous professional experience in the Consumer Packaged Goods (CPG) industry is required.
Experience working with physical consumer products that are manufactured and sold through retail channels is required.
Experience working cross-functionally with multiple departments is required.
Experience with product/item setup, retail customer requirements, customer portals, vendor onboarding, or product data management is strongly preferred.
High school diploma or equivalent required; Bachelor's degree preferred. Equivalent relevant industry experience may be considered in lieu of a degree.
Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.
Exceptional attention to detail and accuracy.
Experience with project management tools such as Jira, Monday.com, Asana, or similar platforms is preferred.

Physical & Position Requirements

Full-time hourly position, onsite.
Valid driver's license with reliable personal transportation to deliver packages and product samples to local shipping carriers as needed.
Ability to lift and carry up to 25 pounds.
Ability to work in a fast-paced environment while managing multiple deadlines and changing priorities.

We're looking for a proactive, organized, dependable CPG professional who understands how physical consumer products move through a retail environment and enjoys keeping the details behind those products organized and moving forward.

The right person is comfortable working across departments, following up for information, managing deadlines, navigating customer requirements, and jumping between different priorities without losing track of details.

This is not simply an administrative role. We need someone who understands the product lifecycle and retail environment, can communicate effectively with Product Development, Supply Chain, Quality, Regulatory, Sales, and Logistics, and takes ownership of getting things done.

The ideal candidate is a self-starter who sees what needs to be done, follows through, and anticipates issues. No task is too small or too large; the expectation is that this person will jump in where needed and help keep the Project Management team and product launches moving.

Pay: $45,000.00 - $50,000.00 per year
