Full Job Description

Mind Above Matter (MAM) is a leading provider of behavioral health services offering the full continuum of outpatient care for adolescents through adulthood. We offer expert treatment and compassionate adolescent/adult – centered care supporting mental health. We provide services at our locations located in Texas, in the Burleson, Keller, Lewisville areas and maintain partnerships with numerous local school districts.

We are seeking an experienced and highly motivated Lead Call Center Representative to oversee the day-to-day operations of our centralized call center supporting multiple mental health facilities throughout Texas.

This position will be based out of our Corporate Office in New Jersey and will serve as a key point of contact between the corporate office, call center team, and Texas-based clinical and administrative operations.

The Lead Call Center Representative will provide hands-on leadership to the call center team while ensuring that all calls, inquiries, referrals, scheduling requests, and patient communications are handled professionally, efficiently, and with compassion.

The ideal candidate is an organized, dependable leader with excellent communication skills, strong attention to detail, and the ability to work in a fast-paced behavioral health environment.

Key Responsibilities

Lead and oversee the daily activities of the Call Center team supporting multiple Texas locations.
Serve as the primary point of contact for Call Center Representatives and assist with escalated calls and complex situations.
Monitor incoming calls, inquiries, referrals, and scheduling requests to ensure timely responses.
Ensure patients, families, referral sources, and community partners receive professional and compassionate customer service.
Assist with the coordination of new patient inquiries, intake appointments, assessments, and referrals.
Ensure accurate collection and documentation of patient and referral information.
Coordinate with clinical, admissions, scheduling, insurance, and administrative teams to facilitate a smooth patient experience.
Monitor call volume, response times, abandoned calls, scheduling activity, and other key performance indicators.
Conduct regular quality assurance reviews of calls and provide coaching and feedback to team members.
Train and onboard new Call Center Representatives.
Develop and maintain call center procedures, workflows, scripts, and best practices.
Assist with staff scheduling and daily coverage to ensure adequate call center support.
Identify operational issues and recommend solutions to improve efficiency and patient satisfaction.
Handle escalated customer concerns and determine the appropriate course of action.
Ensure staff follow established company policies, procedures, confidentiality requirements, and applicable behavioral health regulations.
Maintain professionalism and confidentiality when handling sensitive patient information.
Work closely with Texas facility leadership and the Corporate Office to communicate trends, concerns, staffing needs, and operational issues.
Assist with reporting and tracking call center performance metrics.
Participate in regular meetings with Corporate Leadership and facility management.
Help establish a consistent customer-service experience across all Texas facilities.
Perform other duties as assigned.

Qualifications

High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Healthcare Administration, Behavioral Health, or related field preferred.
2+ years of call center, healthcare, behavioral health, intake, admissions, or customer service experience.
Previous supervisory, lead, or team-lead experience strongly preferred.
Experience working in a mental health, behavioral health, substance use, healthcare, or medical setting preferred.
Strong computer and technology skills with the ability to learn and utilize multiple systems.
Experience with electronic health records (EHR/EMR), scheduling systems, CRM systems, or call-center software preferred.
Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Ability to multitask and prioritize in a fast-paced environment.
Strong problem-solving and conflict-resolution skills.
Ability to remain calm, professional, and compassionate when handling difficult or emotionally sensitive calls.
Must demonstrate strong leadership and accountability.
Bilingual English/Spanish is a plus.
