ABOUT THE KENNEDY COLLECTIVE

The Kennedy Collective is a Connecticut-based nonprofit organization serving individuals with intellectual and developmental disabilities (ID/DD), veterans, and individuals facing barriers to employment. TKC requires precise HR administrative support to maintain compliance, employee records, certification tracking, and operational workflows across multiple locations and regulatory requirements.

POSITION SUMMARY

The Human Resources Coordinator / DDS Medication Coordinator provides administrative and operational support for the Human Resources Department while serving as the agency's DDS Medication Coordinator. This role supports employee lifecycle processes, regulatory compliance, personnel records, training and credential tracking, and medication administration compliance in accordance with DDS regulations and organizational policies. The position requires strong organization, confidentiality, accuracy, and collaboration with employees, supervisors, healthcare professionals, and regulatory partners.

Essential Duties and Responsibilities

Human Resources Functions

Assist with recruitment activities, including posting vacancies, screening applications, scheduling interviews, conducting reference checks and preparing onboarding documentation.
Coordinate and facilitate employee onboarding and orientation programs.
Maintain accurate and confidential personnel files in compliance with federal, state, and organizational requirements.
Track employee certifications, licenses, training requirements, and compliance deadlines.
Process employment status changes, including new hires, transfers, promotions, leaves of absence, and separations.
Assist employees and managers with HR-related questions regarding policies, benefits, payroll, and employment procedures.
Support performance management processes by coordinating evaluations and maintaining related records.
Prepare reports, correspondence, presentations, and other HR documentation as needed.
Assist in the administration of employee benefit programs and open enrollment activities.
Maintain HR databases and Human Resource Information Systems (HRIS).
Support employee engagement, recognition, and retention initiatives.
Ensure compliance with applicable labor laws, accreditation standards, and agency policies.
Participate in audits, investigations, and compliance reviews as assigned.

DDS Medication Coordinator Functions

Serve as the agency's DDS Medication Coordinator and subject matter resource regarding medication administration requirements.
Schedule, coordinate, and track DDS medication administration certification and recertification training for designated staff.
Monitor medication certification status and support agency-wide compliance with DDS requirements.
Maintain medication administration records, certification documentation, training records, and audit files.
Conduct routine medication audits and quality assurance reviews to support compliance with DDS regulations and internal policies.
Collaborate with nursing, residential, and program staff to address medication issues, training needs, and corrective actions.
Coordinate investigations and follow-up related to medication errors, variances, or compliance concerns.
Support implementation of corrective action plans related to medication administration practices.
Prepare reports and documentation required by DDS, licensing agencies, and organizational leadership.
Assist in developing and updating medication administration policies, procedures, and training materials.
Maintain current knowledge of DDS regulations, medication administration standards, and best practices.

General Responsibilities

Maintain the confidentiality of employee, medical, and organizational information in accordance with HIPAA and agency policies.
Foster positive working relationships with employees, supervisors, vendors, regulatory agencies, and external partners.
Participate in department meetings, training programs, and organizational initiatives.
Perform other duties and special projects as assigned

Requirements:

Qualifications

Required Education and Experience

Associate degree in Human Resources, Business Administration, Healthcare Administration, or related field;

equivalent experience may be considered.

Minimum of two (2) years of administrative, human resources, healthcare, or compliance experience.
Experience maintaining confidential records and working in a regulated environment.
Strong proficiency in Microsoft Office Suite and database management systems.

Preferred Qualifications

Bachelor's degree in human resources, Business Administration, Healthcare Administration, or related field.
Human Resources certification, such as SHRM-CP, SHRM-SCP, PHR, or equivalent.
Experience in the intellectual and developmental disabilities field.
Previous experience with DDS medication administration programs and compliance oversight.
Experience with HRIS and electronic record systems.

Knowledge, Skills, and Abilities

Knowledge of human resources practices, employment laws, and personnel administration.
Knowledge of DDS medication administration regulations and documentation requirements.
Excellent organizational, time management, and recordkeeping skills.
Strong written and verbal communication abilities.
Ability to handle sensitive and confidential information with discretion.
Ability to manage multiple deadlines and competing priorities.
Strong analytical and problem-solving skills.
Ability to work independently and collaboratively across departments.

Physical Requirements

Ability to sit, stand, walk, bend, and reach for extended periods.
Ability to operate standard office equipment including computers, printers, and telephones.
Ability to occasionally lift and carry up to 25 pounds.
Ability to travel between agency locations and training sites as needed.

Working Conditions

Primarily office-based environment with occasional visits to residential, program, and training locations.
Regular interaction with employees, managers, healthcare professionals, regulatory agencies, and community

partners.

May require occasional evening or weekend hours to support training, audits, or organizational needs.

Success Measures

Maintain compliance tracking for required certifications and medication administration credentials.
Ensure timely onboarding and personnel record management.
Successfully coordinate medication certification and recertification programs.
Support positive employee experiences through responsive HR service.
