Full Job Description

Job Overview
We are seeking a dynamic and highly organized Office Manager/bookkeeper to assist with our administrative operations and ensure the smooth functioning of our office environment. This vital role involves overseeing daily administrative tasks, managing office procedures, and providing exceptional support to staff and visitors alike. The ideal candidate MUST BE advanced in QuickBooks. Candidate must have a minimum of 5 years experience.

Responsibilities

Manage front desk operations, including greeting visitors, handling inquiries, and maintaining a welcoming environment
Filing quarterly payroll taxes and IFTA
Maintain accurate records including invoicing and billing using Quickbooks
Working closely and communicating with the bank to make sure all bills are paid on time
Running payroll
Ensuring all company vehicle registrations are up to date
Handle clerical duties such as filing, photocopying, scanning, and organizing office supplies to ensure operational readiness
Support bookkeeping and financial tasks using QuickBooks

Skills

Advanced skillset in QuickBooks is required
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Familiarity with multi-line phone systems and phone etiquette best practices
Excellent computer literacy with the ability to perform data entry, proofreading, and document formatting accurately
Strong time management skills to prioritize tasks efficiently in a fast-paced environment
Previous experience as a receptionist or personal assistant is advantageous
Ability to handle clerical tasks such as filing, photocopying, and managing office supplies with attention to detail
Effective communication skills for customer support and internal collaboration
