About the Role
We are seeking a motivated, detail-oriented Inside Sales Coordinator to join our growing sales team. This person will serve as a key partner to our Sales Manager, supporting promotional products distributors through every stage of the sales process.
The ideal candidate is proactive, organized, and takes ownership of their work. They are comfortable communicating with customers and internal teams, ask thoughtful questions, follow through on commitments, and consistently look for ways to improve the customer experience
Prior experience working in a promotional products company, distributor or supplier, is required. We are looking for someone who already understands the industry’s terminology, structure, order flow, and commonly used platforms such as SAGE, DistributorCentral / OMG, and ESP / ASI. This experience will allow the right candidate to contribute quickly and bring ideas and insights that can help us grow in the promotional products space.
Responsibilities include, but are not limited to:
- Support the Sales Manager with daily sales and distributor support tasks
- Own assigned opportunities from initial inquiry through order placement, coordinating quotes, proofs, follow-ups, and production communication
- Follow up on potential leads and distributor inquiries
- Help build and maintain strong relationships with distributors
- Assist with product research, pricing, quoting, and order details
- Assist with order entry, purchase orders, artwork/proof coordination, and production follow-up
- Communicate with distributors, vendors, and internal departments — including Sales, Customer Service, Art, Production, Shipping, and Accounting — to keep projects moving efficiently
- Help resolve distributor questions, order issues, and timeline concerns
- Use promotional products platforms such as SAGE, DistributorCentral / OMG, and ESP / ASI
- Maintain accurate notes, records, and distributor information
Required Experience and Skills
- Prior experience working with a promotional products company, distributor, or supplier
- Understanding of distributors, suppliers, quotes, purchase orders, proofs, catalogs, and production timelines
- Familiarity with industry platforms such as SAGE, DistributorCentral / OMG, and ESP / ASI
- Self-starter who takes initiative, follows through without constant supervision, and proactively identifies opportunities to assist customers and teammates
- Communicates professionally and confidently with distributors by phone and email while representing Acrylic Idea Factory’s commitment to exceptional service
- Exceptional attention to detail with the ability to manage multiple projects, deadlines, and customer requests simultaneously
- Excellent written and verbal communication skills with a professional, positive, and customer-focused approach
- Strong organizational, time management, and problem-solving skills
- Dependable, accountable, and committed to following through on responsibilities
- Ability to learn technical product information and communicate it clearly and accurately to customers
- Proficient in Google Workspace and other standard business software
- Positive, team-oriented attitude with a willingness to learn, adapt, and continuously improve
Preferred Qualifications
- Experience preparing quotations, coordinating artwork and proofs, processing orders, and managing customer follow-up
- Knowledge of custom manufacturing, awards, signage, acrylic products, or decorated products
