Electrical Services Scheduler / Dispatcher / Operations Coordinator
An established electrical services company is seeking an experienced and highly organized Electrical Services Scheduler / Dispatcher / Operations Coordinator to manage the daily service schedule, coordinate field technicians and support the efficient operation of the office.
This position requires previous electrical-industry experience and a working knowledge of electrical service terminology, job types, technician skill levels and common residential and commercial electrical needs.
The primary responsibility of this role is to keep the service department organized, productive and responsive throughout the day. This includes answering incoming calls, evaluating customer needs, scheduling appointments, assigning the appropriate technician, monitoring job progress and adjusting the schedule as conditions change.
This is not an entry-level receptionist position. The successful candidate must be able to understand electrical service requests, communicate effectively with electricians and customers, anticipate operational problems and take ownership of the daily service board.
Primary ResponsibilitiesScheduling and Dispatch
- Manage the daily residential and commercial electrical service schedule.
- Schedule service calls, estimates, inspections, return visits and project-related appointments.
- Assign work based on technician experience, licensing, location, availability and the electrical needs of each job.
- Evaluate incoming service requests and identify the appropriate urgency, appointment length and technician skill level.
- Monitor technician locations, job progress and availability throughout the day.
- Adjust the schedule in response to emergencies, delays, cancellations, job overruns and staffing changes.
- Minimize technician downtime, scheduling gaps and unnecessary drive time.
- Prioritize emergency and high-value service calls appropriately.
- Coordinate after-hours or emergency service calls when required.
- Ensure technicians receive complete job descriptions, customer information, access instructions and relevant history before dispatch.
- Coordinate return visits involving ordered parts, inspections, permits or additional labor.
- Maintain accurate job statuses within the company’s field-service software.
- Review unscheduled, incomplete and pending work to ensure that jobs do not fall through the cracks.
Electrical Service Knowledge
- Understand common residential and commercial electrical service requests.
- Recognize the difference between service work, troubleshooting, estimates, projects and emergency calls.
- Ask customers appropriate questions to gather useful information before scheduling.
- Understand common electrical terminology related to panels, breakers, circuits, outlets, lighting, troubleshooting, service upgrades and equipment installations.
- Match job requirements with technician experience and capabilities.
- Communicate job information clearly and accurately to electricians and management.
- Identify situations that require management, estimator or field-supervisor involvement.
- Avoid giving technical or safety advice beyond company-approved procedures.
Customer Service and Phone Management
- Answer incoming calls promptly and professionally.
- Serve as the primary point of contact for service customers.
- Gather complete and accurate information regarding customer concerns.
- Explain scheduling procedures, service-call charges and arrival expectations.
- Communicate appointment windows and technician delays to customers.
- Handle upset or concerned customers calmly and professionally.
- Confirm appointments and reschedule customers when necessary.
- Follow up on missed calls, web inquiries and customer messages.
- Maintain accurate notes regarding customer conversations and job requirements.
- Escalate serious complaints, safety concerns and sensitive matters to management.
- Help convert qualified incoming calls into scheduled service appointments.
Office Operations
- Coordinate daily communication between customers, technicians, estimators, project managers and company leadership.
- Maintain accurate customer, property and job information in company software.
- Review open jobs to confirm that notes, photographs, paperwork and job statuses are complete.
- Assist with collecting service fees, deposits and customer payments.
- Send invoices, estimates and other documents when required.
- Monitor incomplete jobs, pending approvals and jobs awaiting parts.
- Maintain organized electronic and paper records.
- Help ensure office procedures are followed consistently.
- Assist with daily operational reporting and management requests.
- Support the orderly flow of information between the office and field.
- Protect confidential customer, employee and company information.
Estimate and Job Follow-Up
- Follow up on outstanding estimates and pending customer approvals.
- Help schedule approved work promptly.
- Track jobs waiting for deposits, permits, materials or customer decisions.
- Contact customers regarding appointment availability and unscheduled work.
- Assist management with identifying open revenue opportunities.
- Help reduce missed appointments and cancellations through confirmation procedures.
- Ensure return visits and unfinished work are scheduled and completed.
Required Qualifications
- Previous experience working for an electrical contractor or electrical service company.
- Working knowledge of residential and commercial electrical services.
- Familiarity with common electrical terminology, job types and service-call requirements.
- Previous scheduling, dispatching, service coordination or office-operations experience.
- Ability to communicate effectively with electricians, customers and management.
- Strong telephone and customer-service skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple technicians, calls and changing priorities simultaneously.
- Ability to make sound scheduling decisions in a fast-paced environment.
- Comfortable using computers, email and field-service management software.
- Reliable attendance and punctuality.

Preferred Qualifications
- Experience dispatching electricians or other skilled tradespeople.

- Experience using field-service scheduling or customer-management software.
- Experience collecting payments, deposits and service charges.
- Experience coordinating permits, inspections or material-related return visits.
- Bilingual English and Spanish communication skills are helpful but not required.
