Dealership ControllerJob Overview

The Controller plays a critical role in protecting dealership assets, identifying financial risks, strengthening internal controls, and ensuring complete accountability across every department.

The Car Lot is seeking an experienced, highly organized, and results-driven Dealership Controller to oversee all accounting and financial operations of our growing dealership. This is a leadership position responsible for maintaining accurate financial records, safeguarding company assets, strengthening internal controls, and providing timely financial reporting that helps drive business decisions.

The ideal candidate has extensive automotive dealership accounting experience, exceptional attention to detail, strong leadership skills, and a passion for building efficient financial processes. This individual will work closely with ownership and department managers to ensure the financial health of the dealership while maintaining the highest standards of accuracy, accountability, and compliance.

Key ResponsibilitiesFinancial Management

Oversee all dealership accounting operations.
Prepare accurate monthly, quarterly, and annual financial statements.
Manage the general ledger and ensure accurate financial reporting.
Maintain compliance with Generally Accepted Accounting Principles (GAAP).
Monitor dealership profitability and provide meaningful financial analysis to management.
Develop budgets, forecasts, and cash flow projections.
Manage daily cash flow and banking relationships.
Perform monthly balance sheet reconciliations.
Reconcile all bank accounts, credit card accounts, and financing accounts.
Monitor cash balances and ensure proper cash controls.

Automotive Dealership Accounting

Oversee deal posting and ensure every vehicle sale is accurately recorded.
Monitor Contracts-in-Transit (CIT) and ensure timely funding.
Reconcile vehicle inventory and floor plan accounts.
Review vehicle purchases, wholesales, and inventory adjustments.
Ensure accurate tracking of lender receivables and reserve statements.
Oversee title processing and DMV compliance.
Monitor registration and licensing transactions.
Verify proper accounting for trade-ins, payoffs, and customer deposits.
Ensure all dealership transactions comply with state and federal regulations.

Accounting Office Management

Supervise Accounts Payable, Accounts Receivable, Payroll, and Title Clerks.
Review payroll processing and commission calculations.
Establish efficient accounting procedures and workflows.
Train, mentor, and develop accounting staff.
Maintain accurate accounting schedules and supporting documentation.
Coordinate month-end and year-end closing procedures.
Work directly with outside CPA firms and tax professionals.

Internal Controls & Asset Protection

Protecting dealership assets is one of the Controller's highest priorities.

Responsibilities include:

Develop and maintain strong internal controls.
Review daily financial activity for unusual transactions.
Monitor employee expense reimbursements.
Audit cash handling procedures.
Reconcile vehicle inventory.
Audit title inventory.
Review journal entries and adjustments.
Verify floor plan reconciliations.
Ensure proper separation of duties.
Identify accounting discrepancies before they become problems.
Recommend process improvements to reduce risk and increase efficiency.
Assist ownership with financial audits and operational reviews.

Qualifications Required

Previous experience as a Dealership Controller or Assistant Controller preferred. Strong understanding of:
Deal posting
Contracts in Transit (CIT)
Vehicle funding
Floor plans
Inventory reconciliation
Payroll
Accounts Payable
Accounts Receivable
Bank reconciliations
Sales tax
Title processing
DMV compliance
Advanced knowledge of GAAP.
Strong Microsoft Excel skills.
Exceptional attention to detail.
Excellent organizational and time management skills.
Ability to maintain strict confidentiality.

Preferred

CPA designation (preferred but not required).
Bachelor's degree in Accounting, Finance, or a related field.
Experience with dealership management systems such as DealerCenter, CDK, Reynolds & Reynolds, Dealertrack, Tekion, AutoSoft, or similar.
Experience working in high-volume automotive dealerships.
