Full Job Description

A well-established Seattle law firm is seeking an Office Coordinator (5267) to join its team in a Temporary-to-Hire capacity. This role serves as the hub of the office, providing front desk reception, facilities coordination, and administrative support while ensuring the office runs smoothly each day. The ideal candidate is organized, proactive, customer-service oriented, and enjoys being the go-to resource for both employees and visitors.

Key Responsibilities

Serve as the first point of contact by greeting clients, visitors, and vendors
Answer and direct incoming phone calls professionally
Process incoming and outgoing mail, packages, and deliveries
Coordinate parking validations and maintain tracking systems
Manage conference room setup, scheduling, and basic technology support
Maintain office kitchens, including stocking snacks, beverages, and supplies
Order and manage office, kitchen, and hospitality supplies
Coordinate office equipment maintenance and building service requests
Assist with firm events, meetings, and employee onboarding logistics
Support accounting, HR, marketing, and legal teams with administrative projects
Coordinate messenger services, copying, mailings, and general office support
Help maintain office safety procedures and serve as a primary facilities contact

Qualifications

Minimum of 2 years of office, administrative, reception, or office coordination experience
Professional services or law firm experience preferred
Strong customer service and interpersonal skills
Excellent organizational skills with the ability to manage multiple priorities
Strong attention to detail and problem-solving abilities
Excellent written and verbal communication skills
Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint
Ability to work independently while supporting a collaborative team
Professional demeanor with the ability to maintain confidentiality

Preferred Qualifications

Experience supporting facilities or office operations
Experience coordinating meetings and events
Experience working in a legal or professional services environment
Comfortable providing basic conference room technology support
