Position: Office Manager

Position Type: Full-time

Location: Tulsa, OK 74136

About us:

The Eye Institute has been providing the highest quality of eye care in an ever-changing world of medical innovation. Today, we're known as Northeast Oklahoma’s most comprehensive eye care centers. The Eye Institute is a multi-specialist Ophthalmology practice, offering services ranging from comprehensive eye exams to specialty services including General Ophthalmology, Cornea, Retina, Glaucoma, Pediatrics and Adult Strabismus, Refractive and Oculoplastic and Orbital Surgery.

About the position:

Oversee and manage all clinical and reception/scheduling staff. Oversee and supervise all patient care processes. Ensure all patients testing is appropriately scheduled, performed and documented. Oversee OSHA/HIPAA regulations and training for staff. Oversee training of clinical and reception/scheduling staff to ensure excellent quality patient care. Perform chart audits and communicate recommendations for change.

Job functions:

Assist in recruitment, hiring, training and disciplinary action of clinical and reception/scheduling staff.
Supervise personnel including preparation and monitoring of job descriptions and personnel evaluations.
Develop and maintain training program for clinical and reception/scheduling staff including the immediate supervision of untrained assistants.
Appropriately schedule technical staff in accordance with clinic needs; approve requests for time off for clinical and reception/scheduling staff.
Organize and conduct regular meetings for technical and reception/scheduling staff.
Perform other duties as assigned to assist in the function and efficiency of the office.
Provide back up support to other technicians and reception/scheduling staff.
Recognize and triage medical emergency situations according to office policy.
Answer patient questions and telephone inquiries, including but not limited to attaining resolution of patient problems or complaints.
Ensure OSHA & HIPAA policies and procedures are being followed by staff.

Knowledge, skills, abilities required for the position:

Must possess strong teaching and management skills.
Must demonstrate computer literacy, be able to operate software programs utilized in the practice and utilize (at a minimum) the internet, excel, and word programs.
Must possess some general medical knowledge including diseases and medications that are pertinent to patient care in ophthalmology.
Skill in operating computers, printers, telephones, fax machines, copiers, scanners, calculators, transcribers, ophthalmic medical equipment.
Ability to establish and maintain effective working relationships with other employees and the public.
Great attention to detail.
Ability to work under pressure, communicate, present information, and to multi-task.
Ability to read, interpret, and apply policies and procedures.
Ability to identify problems, recommend solutions, organize and analyze information.
Knowledge of Medicare/Medicaid and private insurance billing rules and regulations.
Knowledge of HIPAA regulations.
Knowledge of OSHA regulations pertaining to medical practices
Knowledge of grammar, spelling and punctuation.

Physical/Mental requirements:

Requires sitting and standing associated with a normal office environment.

Required experience:

Must have a minimum of 2 years of administrative experience.
Must have prior supervisory experience.
Healthcare or Ophthalmology experience preferred.
