Job Overview

We are seeking a dynamic and professional Receptionist to join our busy law office. This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, with the ability to handle multiple tasks efficiently. As the first point of contact for clients and visitors, you will create a welcoming environment while supporting the administrative needs of our legal team. This paid position offers an exciting opportunity to develop skills within a professional legal setting.

Responsibilities

Greet clients, visitors, and vendors warmly and professionally, ensuring a positive first impression.
Answer multi-line phone systems promptly, directing calls accurately and courteously while maintaining phone etiquette.
Manage appointment scheduling and calendar coordination for attorneys and staff
Perform clerical duties including data entry, filing, proofreading, and word processing to support case preparation and administrative operations.
Handle incoming and outgoing correspondence via email, mail, and courier services with precision.
Maintain organized records of client files, legal documents, and office supplies to ensure efficient workflow.
Assist with office management tasks including inventory control, supply ordering, and maintaining a clean reception area.
Provide customer support by addressing inquiries professionally and ensuring client communication is clear and timely.
Manage front desk responsibilities including answering phones on multi-line systems, screening calls, and providing information as needed.

Qualifications

High school diploma or equivalent (associate degree preferred).
Previous receptionist, administrative assistant, or customer service experience preferred.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office (Word, Outlook, Excel).
Professional appearance and positive attitude.
Ability to maintain confidentiality and handle sensitive information.
Bilingual is a plus.
