The Facilities & Operations Manager is an exempt, salaried position with a competitive benefits package, including company paid employee health and dental insurance and Simple IRA retirement account. The salary range starts at $68,000 to commensurate with experience, and will report to the Chief Financial Officer.
Role Description:
The Facilities & Operations Manager will be the project lead and manager on all capital improvements for 1124 S Lewis and 1102 S Lewis, which includes both long-term facility maintenance projects and on-going capital improvements. This position is responsible for managing all facility and equipment routine maintenance as well as managing as-needed repairs and replacement.
The Facilities & Operations Manager oversees the day-to-day operations of the campus with a strong focus on stakeholder satisfaction. This position serves as the main point of contact for merchants, retailers, staff and stakeholders on operational excellence. This individual works with a high attention to detail and maintains our commitment to a clean, organized, and inviting market.
This position is responsible for the development and deployment of safety systems and security of the facilities, facility assets, tenants and customers while in the space. The position is expected to source necessary vendors that support the key responsibilities and maintain good working relations with these vendors. The Facilities & Operations Manager is responsible for budgeting and managing expense and revenue items related to key responsibilities and working closely with the finance department for variance explanations.
The Facilities & Operations Manager should be collaborative, supportive and viewed as a visible leader in the market, working in close partnership with the General Manager to ensure Mother Road Market goals are met efficiently and effectively. This position will work closely with all tenants of the locations, including merchants, retailers and programs such as Kitchen 66 and Lobeck Taylor Family Foundation.
Troubleshooting and problem solving are key characteristics of a successful Facilities & Operations Manager. In addition to overseeing all maintenance and facility improvements, the Facilities & Operations Manager supports vendor relations, including inventory and supplies ordering, managing the cleaning crew, security, and technical support.
RESPONSIBILITIES
- Facilities & Operations
- Leading all facility and shared equipment management and maintenance at 1124 S Lewis and 1102 S Lewis, including but not limited to long-term maintenance and replacement plans and daily operational needs.
- Responsible for managing vendor relations related to management and maintenance of facilities.
- Oversight of facility security, including facility access maintenance, parking lot lighting, tenant background checks, security staff, security camera system, training materials, policies and procedures.
- Responsible for ensuring that merchants and retailers obtain and maintain insurance and licensing to lawfully operate and remain compliant with all state, federal and local governing agencies, including but not limited to Tulsa Health Department, ABLE, Oklahoma Tax Commission, etc.
- Develop and maintain safety policies and procedures, conducting relevant safety training for all stakeholders to ensure safety and security of assets, customers, merchants, retailers and employees.
- Responsible for facility security, including FOB maintenance, parking lot lighting, tenant background checks, and security camera system, training materials, policies and procedures.
- Act as the technical expert in facilities and property management, including routine and as needed building and equipment maintenance for 1124 S. Lewis and 1102 S. Lewis.
- Maintain appropriate inventory levels for supplies needed for daily operations of the Market, including Mother Road Market operations, dish suite, K66, Information Booth, and The WEL Bar in collaboration with LTFF peers and staff
- Code invoices and maintain accounts for Mother Road Market.
- Source necessary vendors that support the key responsibilities including but not limited to scheduling of linens, soda orders, professional cleaning companies, professional security, and CO2 suppliers and maintain good working relations with these vendors.
- Lead the physical setup and layout of retail spaces inside Mother Road Market to include the Info Booth, LTO | MKT and pop-up spaces on retail strategies.
- Lead operational support in the flipping of merchant and retail spaces for new tenants.
- Collaborate with Mother Road Market colleagues to facilitate Monthly Merchant Meetings and Monthly Shops Meeting, building agendas and attending meetings.
- Support LTFF staff with incident reports, including providing video footage and accurately and timely reporting of details.
- Ensure facilities, including garage, storage areas, hallways, etc. are organized, free of clutter and presentable to stakeholders.
- Ensure MRM and all arms of the organization are operating in accordance with current licenses, permits, laws and ordinances.
- Technical Responsibilities
- Understand and integrate appropriate project management tools and processes to manage construction and renovation projects.
- Act as the technical expert in facilities, including routine and as needed building and equipment maintenance for 1124 S. Lewis and 1102 S. Lewis.
- Act as the technical expert in safety, including Market assets, employee, tenants, and customers.
- Ability to use resources effectively to achieve objectives.
- Organizational Excellence & Continuous Improvement
- Creatively engineer ways to improve efficiency within the Market while generating revenue.
- Responsible for budgeting and managing revenue/expenses related to daily operations of Mother Road Market, including dish suite and general operations, and working with the Chief Financial Officer on variance explanation, working consistently to reduce costs where appropriate.
- Support the enforcement of policies and procedures for Mother Road Market, its merchants, and staff, including filing and fining for violations in policy, including parking, noise complaints, issues, etc and work with the finance department to convey fines that need to be assessed on a monthly basis to merchants and shop owners.
- Document and operationalize organizational processes.
- Provide hands-on maintenance support that works to reduce overhead costs associated with third party repairs and maintenance, where applicable.
- Oversee and manage annual or bi-annual all staff clean up days, organizing projects and lining up supplies, and facilitating day of logistics.
- Leadership/Supervisory Responsibilities
- Oversee and provide direction to the Facilities Assistant.
- Provide thought partnership as a member of the LTOF Management Team to ideate, innovate, and drive market improvements.
- Provide regular communication and updates to supervisor, peers and stakeholders and provide regular feedback to the organization.
- Manage time and schedule to meet goals and to fulfill responsibilities.
- Maintain transparent communication and promote collaboration through the team.
- Work closely with the General Manager to build a culture of trust and accountability within the hourly staff, breaking down barriers and dispelling disparities among staff members.
- Evaluate effectiveness and propose recommendations to improve programs operating at Mother Road Market and Shops at Mother Road.
- Ability to identify long-term, sustainable solutions related to key areas of focus.
- Promote, work, and act in a manner consistent with the mission of Lobeck Taylor Family Foundation and Mother Road Market.
- Serve as a backup Manager on Duty (MOD) when needed.
REQUIREMENTS
- Bachelor’s degree, preferred.
- 2-3 years of restaurant experience, preferred.
- 3-5 years experience in facilities management, project management, scheduling, ordering and budgeting, required.
- Strong communication skills, both written and verbal.
- Proficient with Microsoft Office Suite and G Suite, preferred.
- Previous experience in customer service, food service, point of sale systems or other related fields, preferred.
- Tulsa Health Department Food Handler Permit, required
- Food Safety Manager Certification Training, preferred
- ABLE License with proof of ACE training or equivalent, preferred
- Occupational Safety and Health Administration 10 Hour Training, preferred
- Must be able to traverse a large space quickly, navigating through doors and on stairs while items related to role.
- Must be able to stand for prolonged periods of time, up to 8 hours.
- Must be able to lift 50 pounds at times.
- This position is excluded from earning tips directly or as part of a tip pool. Any tip share would be considered a donation to the program.
- May be required to cover a Manager On Duty shift if the need arises.
- May be required to work night and weekend hours and some holiday hours as well to ensure that needs of the business are met.
