Job Overview

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your enthusiasm and organizational skills will help create a positive environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a dynamic team.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems to handle inquiries efficiently and direct calls appropriately
Schedule appointments, maintain calendars, and coordinate meetings using productivity software and calendar management tools
Perform data entry tasks with accuracy using spreadsheets, word processing, and other office software
Handle clerical duties such as filing, proofreading documents, and maintaining organized records
Support office management by overseeing supplies inventory, processing invoices with QuickBooks, and assisting with general administrative tasks
Provide excellent customer support through clear communication and professional phone etiquette

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes
Strong computer literacy with the ability to quickly adapt to new office management software and technical tools
Excellent organizational skills with keen attention to detail for proofreading and filing tasks
Effective communication skills in both verbal and written formats; bilingual abilities are a plus
Experience with multi-line phone systems, calendar management, and customer service best practices
Demonstrated ability to handle clerical responsibilities efficiently while managing time effectively
Previous office experience or personal assistant experience that highlights strong administrative capabilities
Knowledge of QuickBooks or similar accounting software is advantageous for handling invoicing tasks
