Full Job Description

Position Summary

We are seeking a professional and detail-oriented Accounting Receptionist to join our property management team. This position may serve as the first point of contact for residents, owners, vendors, and clients while also providing administrative and accounting support to the Financial Manager and Rent Department. The ideal candidate must be organized, dependable, customer-service driven, and capable of handling multiple tasks in a fast-paced office environment.

Essential Duties and Responsibilities

Accounts Payable

Process and code vendor invoices accurately and timely.
Verify invoices for approvals and supporting documentation.
Respond to vendor inquiries and assist with account reconciliations.
Ensure compliance with company policies and DRE trust accounting requirements.

Accounts Receivable

Post resident and owner payments accurately.
Monitor account balances and resolve payment discrepancies.

Delinquency & Collections

Monitor delinquent accounts and follow up on past-due balances.
Contact residents by phone, email, and written correspondence regarding unpaid rent.
Prepare and issue 3-Day Notices and other required notices.
Maintain accurate collection records and ensure compliance with California landlord-tenant laws and company policies.

Resident & Owner Relations

Respond professionally to residents, owners and vendor inquiries.
Explain account balances, charges, payment options, and account status.
Provide account updates to property managers and owners while maintaining positive customer relationships.

Administrative Support

Maintain accurate electronic records and filing systems.
Assist with monthly reports and special projects.
Perform other accounting and administrative duties as assigned.

Qualifications

Previous receptionist, administrative, or accounting experience preferred
Property management experience is a plus
Strong customer service and communication skills
Basic accounting knowledge and understanding of bookkeeping practices
Proficient in Microsoft Office, including Word, Excel, and Outlook
Ability to multitask and prioritize in a busy office environment
Strong attention to detail and organizational skills
Professional appearance and demeanor

Preferred Skills

Experience with property management software such as AppFolio, Yardi, RentCafé or similar programs
Ability to handle difficult situations professionally and calmly
Strong problem-solving abilities and time management skills

Schedule

Full-time
Monday through Friday 8am – 5pm
Standard business hours

Pay: From $25.00 per hour
