Full Job Description

Pay Grade/Pay Range: Minimum: $18.32 - Midpoint: $21.97 (Hourly N4)

Department/Organization: 502201 - Student Account Services

Normal Work Schedule: Monday - Friday 8:00am to 5:00pm; varies, as needed

Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.

Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.

Skills and Knowledge: Strong customer service and interpersonal skills. Ability to communicate effectively both verbally and in writing. Ability to handle a high volume of telephone, email, and in-person inquiries while maintaining a positive and professional demeanor. Basic knowledge of office procedures and recordkeeping practices. Proficiency with Microsoft Office applications, particularly Outlook, Word, and Excel. Ability to accurately enter, review, and maintain data and financial information. Ability to identify, research, and resolve routine account discrepancies. Strong attention to detail and organizational skills. Ability to maintain confidentiality and exercise discretion when handling student records and financial information. Ability to prioritize work and meet deadlines during peak operational periods such as registration and billing cycles.

Preferred Qualifications: Experience in a higher education environment, student account services, cashiering, payment processing, or the use of Banner or other enterprise information systems. Experience working with computerized databases, student information systems, or financial systems. Experience handling cash, checks, credit card payments, or other financial transactions.
