Job Summary

The Administrative Assistant III coordinates activities and provides administrative support for the Department of Internal Medicine. The work requires an understanding of complex processes, data, and operations of the department. The position will have knowledge of a broad range of University and School of Medicine federal regulations, policies, and procedures. This role creates and maintains associated documents and databases, arranges and coordinates meetings, special events, including informing the department chair, division chiefs, project manager, and others in the department of critical issues and events. They will provide detailed responses to information requests, review and update administrative procedures, prepare and file required metrics and regulatory reports, and serve as the administrative coordinator for the annual budget process. Possibility of some after-hours and weekends for School of Medicine or University events.

Key Responsibilities

Office management includes providing quality customer service, opening the office daily, address correspondence and emails, returning all voicemails, monitoring inventory of office supplies, computers, electronics, software, schedule and attend staff meetings, maintain and distributing meeting minutes and responding to general questions and needs.
Greeting visitors and students arriving at the department, directing them to the proper office.
Develop and streamline financial operational efficiencies by processing purchase requisitions, payment vouchers, travel requests and reimbursements.
Maintain impeccable records and communication to ensure the Department Chair calendar is updated and accurate.
Monitor expenditures and revenue against budgets, ensure accurate accounting records and facilitate monthly and annual reconciliation of accounts.
Assure that all travel policies and procedures are followed, and travel card purchases are kept current.
Work closely with the other department Admins to ensure seamless support.
Support the department as needed, including scheduling meetings, assisting and creating reports, and conducting research.
Utilize University systems for the preparation of reports and financial documents to assist with departmental reports and assessments.
Support departmental initiatives, events and activities, by planning, execution, and evaluation.
Originate and process eforms for all employees, full-time or part-time within the department throughout the semesters and work on classroom assignments each semester.
Work with the Program Director to increase visibility of SOM.
Serve on division and university committees as requested.
Other duties as assigned.

Required Qualifications

High School Diploma or GED equivalent.
Five (5) years of related work experience.
May accept a combination of education and experience.

Preferred Education / Experience

Bachelor's degree in field closely related to the specific endeavor of the department.
Five (5) or more years of clerical experience with a university or healthcare provider.
Database and bookkeeping experience.

Accompanying Knowledge, Skills, Abilities and Competencies

Proficient with Microsoft Suite.
Knowledge of University and School of Medicine federal regulations, policies, and procedures.
Strong customer service and communication skills, in person and over the phone.
Detail-oriented with the ability to manage multiple responsibilities effectively.
Ability to work independently and as part of a team.
Work collaboratively and cooperatively with School of Medicine personnel at all levels.
Respond flexibly and positively in all circumstances, working calmly under pressure.
Exceptional organizational skills with the ability to plan, prioritize, and coordinate events and activities.

Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length. This position has the option to elect the Optional Retirement Program (ORP) instead of TRS, subject to the position being 40 hours per week and at least 135 days in length.

This position is security-sensitive and subject to Texas Education Code Section 51.215, which authorizes the employer to obtain criminal history record information. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.

Clinical Position Requirements
