Center Operations Manager

Full-Time | In-Office | 7:00 AM – 4:00 PM, Monday – Friday | $45,000 – $50,000 Annually

About Autism Response Team

Locally owned and operated, Autism Response Team (ART) has served the special needs population of North Texas for nearly a decade. We provide ABA therapy services both in-clinic and in-home, delivering a curriculum designed to help individuals with special needs participate fully in life's activities across all environments.

Position Overview

The Center Operations Manager is responsible for the day-to-day operational health of an ART center and oversight of other ART locations. This role goes beyond scheduling — it owns staff onboarding and attendance, clinical quality assurance auditing, supply management, center appearance and readiness, and utilization of client service contracts. The Center Operations Manager is the on-the-ground leader who ensures each center runs smoothly, safely, and in a way that reflects ART's standards of quality and care, serving as a central point of coordination between families, clinical staff, and company leadership. This position is an “in Office” Monday-Friday 7-4 position with no remote opportunities.

Key Responsibilities

Staff Onboarding & Attendance

Onboard new center staff across all locations, ensuring a consistent, well-documented, and welcoming new-hire experience.
Coordinate new hire orientation, paperwork, system access, and training logistics in partnership with Talent Acquisition and HR.
Monitor and manage staff attendance, including tracking time-off, tardiness, and call-outs, and addressing attendance concerns in line with company policy.
Serve as a point of contact for staff questions related to onboarding, scheduling, and attendance expectations.

Clinical Quality Assurance

Audit clinical processes and documentation on a regular basis to ensure compliance with ART standards, payer requirements, and best practices in ABA service delivery.
Identify gaps or inconsistencies in clinical process and partner with clinical leadership to implement corrective action.
Support a culture of continuous quality improvement across the center.

Center Supply Management & Appearance

Manage inventory of clinical, therapy, and office supplies; place and track orders to ensure the center is always adequately stocked.
Maintain vendor relationships and manage supply budgets responsibly.
Oversee the overall appearance, cleanliness, and organization of the center, ensuring a safe and welcoming environment for clients, families, and staff.
Coordinate facility maintenance and repair needs as they arise.

Client Utilization & Scheduling

Monitor utilization of client service contracts to ensure authorized hours are understood, tracked, and fulfilled.
Develop, maintain, and adjust clinician schedules to align staff availability with client needs and authorized service hours.
Ensure accuracy and compliance within scheduling systems (e.g., CentralReach)
Communication & Coordination to Director of Operations and Center Directors on scheduling readiness weekly.
Proactively identify staffing or scheduling gaps and coordinate real-time coverage changes, call-outs, and adjustments.
Ensure accuracy and compliance within scheduling and practice management systems (e.g., CentralReach).

Communication & Administration

Serve as the primary operational liaison between center staff, families, and company leadership.
Communicate updates, policies, and expectations clearly, timely, and professionally.
Maintain accurate records related to onboarding, attendance, supply orders, quality audits, and utilization.
Track and report on key operational and service-delivery metrics to leadership.
Ensure adherence to company policies and confidentiality standards across all center operations.

What We Are Looking For

High school diploma or equivalent required; associate's or bachelor's degree preferred.
Prior experience in office management, operations, or a healthcare/clinical support role preferred.
Experience with or knowledge of practice management/scheduling software, such as CentralReach, is desired.
Computer savvy with intermediate to advanced knowledge of Microsoft Office and Outlook.
Strong organizational, communication, and time management skills, with the ability to manage multiple priorities across locations.
Self-motivated, responsible, honest, and articulate, with a demonstrated ability to exercise sound judgment.
Professional demeanor, boundaries, and composure when working with staff, clients, and families.
Ability to interact respectfully and effectively with individuals and families from diverse backgrounds.
