Full Job Description

Essential Job Responsibilities

Provide daily on-site supervision for all staff and volunteers of assigned center (s); inform the Education Manager of staffing needs and changes immediately.
Manage and monitor staff attendance and absenteeism daily; maintain accurate records (T & A, Sign-In Roster, Personal, and Sick Leave; conduct conferences immediately regarding variances; maintain appropriate records.
Orient new staff within five days of employment onset; coach/mentor as appropriate during the probationary period; provide and /or arrange for training and technical assistance immediately upon need identification.
Conduct probationary period performance reviews in accordance with established policies and procedures; document process accordingly.
Conduct mid-year and annual performance evaluations of Center staff in accordance with established schedule.
In conjunction with the Performance Appraisal/Evaluation process, develop an Employee Improvement Plan when warranted.
Maintain an up-to-date listing of all staff credentials and records on professional development pursuit status for those pursuing degree course works to assure staff progress towards educational requirements as supported by MAP and Head Start Performance Standards.
Arrange for pre-approved release time as needed for center staff professional development, assuring staff-child ratio is maintained at all times during site operation.
Frequent telephone and in-person contact with parents, Center staff, Regional and Central Office staff, and consultants for information exchange, problem-solving, and coordination of efforts.
Regular written memos, correspondence, and reports.
Responsible for the coordination and arrangement of services in all functional areas, utilizing internal and external resources to provide quality service as deemed appropriate for each enrolled family, including but not limited to the following areas:
Monitor child attendance daily to ensure timely and appropriate follow-up is provided; report variances such as poor attendance and regular tardiness to ERSEA.
Monitor classrooms (as often as deemed necessary) to establish, facilitate, and maintain an open and accessible working relationship between the Manager and classroom staff.
Monitor all classrooms daily to ensure appropriate staff-child interactions and to ensure the staff-child ratio is being maintained, conduct conference (s) immediately regarding variances and maintain appropriate records.
Monitor manual and computerized child and family records weekly to ensure all records are up-to-date for all enrollees.
Establish manual records for each employee within 2 work days of employment; maintain up-to-date records in accordance with operational procedures.
Submit a bi-weekly written report on center operations to the Program Director/Assistant Program Director.
Create and/or maintain up-to-date documentation as appropriate to support center operations.
Monitor the use of supplies, equipment, and materials to ensure sufficient operating levels are available at all times and submit requests for replenishment as needed in accordance with established procedures.
Promote a consistent exchange of information in all directions; facilitate the resolution of conflicts between staff whenever appropriate.
Perform other duties as requested by the Program Director/Assistant Program Director.
Responsible for collection and submission of accurate staff time and attendance records bi-weekly in accordance with established schedules.
Coordinate all related activities for all planned field trips for assigned Center (s), including scheduling and other related tasks; submit required documentation to the District Manager or designee with established timelines.
Schedule and attend parent meetings, monthly at a minimum, to establish and support positive rapport with parents; maintain records to support validation of meetings.
Responsible for monthly safety checks, fire drills, and safety meetings, as well as updating of safety log.
Investigate any child or staff incidents, assuring all forms are complete and notifying the appropriate authorities and/or supervisor.
Implements and supports “best practices” in early education programming in conjunction with early childhood staff when applicable.
Responsible for monitoring and compliance with applicable local, state, and federal rules, regulations, and standards, as well as with any state and federal contracts, health, safety, and child care licensing regulations and renewal.

Active Supervision Duties

Complete active supervision training and follow active supervision policies and procedures at all times when working with children.
Ensure all staff working with children also complete active supervision training and follow active supervision policies and procedures at all times.
Understand and implement all required policies and procedures related to the active supervision of children at all times, including:
- Observation of the environment, evaluating that children have a place to play and can be observed and listened at all times.
- Continuously scan & count for children under care and report accurate numbers when asked.
- Listen to children at all times to identify potential danger, like specific sounds or the lack of any sound that may trigger an action.
- Develop knowledge of the children under care to anticipate their behavior, perform wellness checks, and be proactive and avoid putting children in danger.
Collaborates with the Bus Driver in teaching children the correct safety procedures for boarding and exiting a bus as well as the danger zones around the vehicle.
Checks independently from the bus driver that the bus is empty at the end of each run and that all children are accounted for.
Interacts with children throughout their time on the bus to extend and reinforce classroom learning.
Ensuring that indoor and outdoor equipment and facilities are clean and do not present any hazards.
Ensure that classrooms and centers are equipped with safety supplies that are readily accessible to staff.

Knowledge/Skills/Experience and Other Requirements

Bachelor’s degree in Early Childhood Development or related field with a minimum of three years demonstrated experience in leadership and/or management position in an early learning environment of Bachelor’s degree in Business Administration or related management field with a minimum of 18 hours in Early Childhood Development.
Strong knowledge of Head Start practice of Early Childhood Development and/or Human Development.
Working knowledge of Head Start Program Performance Standards, Alabama Child Care regulatory environment or other child development, social service programs, human resources management, or related areas in a non-profit organization.
Demonstrated experience in administration and supervision, office management, case management, or related areas.
Oral and written communication skills, which support positive feedback among operational levels.
Ability to continuously report to work daily for a minimum of five (5) days per week to prevent delays in service delivery.
Significant problem-solving ability, which can translate emotionally charged family needs into recommendations and relevant community referrals.
Ability to work as a team member, collaborating with parents and community resources.
Ability to prioritize workload, multi-task, meet deadlines, and maintain a patient and professional attitude, balancing attention to detail with a “bigger picture” perspective.
Substantial decision-making and problem-solving relevant to operations management and procedures, Performance Standards, federal, state, and local regulations.
Regular kneeling, bending, and sitting on the floor to attend to the child’s needs.
Ability to relate to clients from diverse populations.
Occasional lifting of up to 50 lbs., frequent, prolonged sitting and standing to complete tasks.

Ability to travel, sometimes overnight and with short notice.
