Bookkeeper & Operations Coordinator Position Summary

We are seeking a highly organized and detail-oriented Bookkeeper & Operations Coordinator to join our growing team. This position is primarily responsible for managing day-to-day accounting functions, including accounts payable, accounts receivable, invoicing, reconciliations, expense reporting, and financial recordkeeping.

In addition to accounting responsibilities, this role will support inventory management, order processing, online sales operations, production tracking, import logistics, customer service, and coordination with overseas vendors. Experience working with Shopify, website order management, inventory synchronization, e-commerce fulfillment, and customer order processing is highly desirable.

The ideal candidate is a self-starter who thrives in a fast-paced environment, enjoys problem-solving, and can effectively manage multiple priorities while maintaining a high level of accuracy and professionalism.

Key Responsibilities Accounting & Finance

Process Accounts Payable and Accounts Receivable transactions.
Generate customer invoices and ensure timely collections.
Maintain accurate financial records in QuickBooks.
Perform bank, credit card, and balance sheet account reconciliations.
Review and process employee expense reports.
Assist with monthly financial reporting and income statement review.
Prepare and analyze Sales Commission reports and communicate with sales representatives.
Ensure proper record retention and documentation of financial transactions.

Operations & Inventory Management

Manage inventory levels across multiple warehouse locations.
Monitor inventory replenishment requirements and assist with inventory planning.
Reconcile inventory records and investigate discrepancies.
Coordinate inventory transfers between warehouses as needed.
Generate inventory and order status reports to support management decisions.

Order Management & Customer Service

Oversee order flow from order entry through shipment and delivery.
Monitor open orders and Work-in-Process (WIP) reports to ensure timely fulfillment.
Process and monitor online sales orders received through the company website and e-commerce platforms.
Assist with maintaining product, inventory, pricing, and order information across online sales channels.
Provide customer service support, including order status updates and issue resolution.
Follow up with customers regarding shipments, deliveries, and outstanding requirements.
Coordinate with internal departments to ensure orders are processed efficiently.

Production & Import Logistics

Monitor production schedules and production status reports.
Track imported order WIP and ensure delivery deadlines are met.
Communicate with overseas factories, suppliers, and vendors regarding production status and shipment schedules.
Monitor container movements and inbound shipments from origin through delivery.
Review and verify shipping documents, including:
Commercial Invoices
Packing Lists
Bills of Lading (BOL)
Purchase Orders
Shipping Instructions
Ensure all import and shipping documentation is accurate and complete.

Qualifications

Minimum 4 years of bookkeeping and accounting experience.
Accounting degree preferred.
Strong knowledge of Accounts Payable, Accounts Receivable, reconciliations, and financial reporting.
Proficiency in QuickBooks and Microsoft Excel.
Experience with ERP systems, such as ApparelMagic, is a plus.
Experience with inventory management and multi-warehouse operations is a plus.
Knowledge of import/export documentation and logistics is preferred.
Experience with Shopify, website order processing, online sales platforms, and e-commerce operations is strongly preferred.
Ability to manage online order flow, inventory synchronization, fulfillment processes, and customer communications across multiple sales channels.
Experience with Amazon, Walmart Marketplace, Faire, WooCommerce, or similar platforms is a plus.
Strong organizational, analytical, and problem-solving skills.
Excellent communication and customer service abilities.
High attention to detail and accuracy.
Ability to prioritize tasks and work independently.
Positive attitude, strong work ethic, and willingness to take ownership of responsibilities.
