Full Job Description

Job Description:

Just 4 Us Childcare is seeking a proactive and detail-oriented Executive Assistant to provide high-level administrative support to the leadership team. The Executive Assistant will play a key role in managing day-to-day operations, coordinating projects, and ensuring efficient communication within the organization.

Responsibilities:

Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize documents, reports, and presentations for meetings and presentations.
Serve as the primary point of contact for staff, vendors, and partners.
Coordinate and prioritize incoming requests, emails, and phone calls, and respond accordingly.
Assist with budget management, expense tracking, and financial reporting.
Process invoices, reconcile accounts, and manage bill pay for vendors and suppliers.
Maintain accurate records of financial transactions, including expenses, and accounts payable/receivable.
Conduct research, gather data, and prepare briefing materials for executive meetings and decision-making.
Assist with project management tasks, such as coordinating timelines, tracking progress, and following up on action items.
Maintain confidentiality and handle sensitive information with discretion and professionalism.
Collaborate with other team members to support the overall goals and objectives of the childcare center.

Qualifications:

Proven experience as an executive assistant or similar role, preferably in a childcare or education setting.
Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
Strong communication skills, both written and verbal, with a professional and courteous demeanor.
Advanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Google Workspace (Gmail, Google Docs, Google Sheets, Google Drive) and other relevant software applications.
Proficiency in payroll software and accounting systems (e.g., QuickBooks, ADP)
Ability to work independently with minimal supervision and collaborate effectively in a team environment.
Attention to detail and accuracy in all work tasks.
Flexibility and adaptability to changing priorities and fast-paced environments.
A positive attitude and a willingness to take on new challenges and responsibilities.
