Organization Overview

The DARTNet Institute is a not-for-profit 501(c)(3) research organization with a mission to support research and quality improvement activities using existing electronic health data. By leveraging real-world data and innovative methodologies, DARTNet enhances healthcare delivery and outcomes through practice-based research, data integration, and applied health information technology.

Job Summary

The Junior Accountant/Grants Coordinator supports the financial operations of the organization by performing accounting functions while coordinating the financial administration of grants and contracts. This position is responsible for maintaining accurate accounting records, processing routine financial transactions, supporting grant tracking and reporting activities, and ensuring grant documentation is complete and organized.

Working closely with the accounting team, the Junior Accountant/Grant Coordinator helps ensure compliance with organizational policies, grant requirements, and generally accepted accounting principles (GAAP). This position is ideal for an early-career accounting professional seeking experience in nonprofit accounting and grant administration.

Key Responsibilities

Grant Administration

Enter grants and contracts information, budgets, funding details, and award modifications into the SAGE accounting system.
Maintain accurate grant financial records and supporting documentation.
Assist with the financial setup of new grants and contracts.
Monitor grant budgets and funding periods to support compliance with sponsor requirements.

Grants Tracking & Reporting[RW1]

Maintain and update the organization's internal grant tracking system.
Monitor active grants, contract modifications, reporting deadlines, and award activity.
Prepare and distribute monthly financial reports for active grants and projects.
Assist with grant financial reconciliations, reporting requests and other duties assigned[RW2] .

Documentation & Records Management

Upload and organize grant agreements, contracts, amendments, and award documentation within the SharePoint document management system.
Maintain complete and organized electronic grant files.
Ensure financial and grant documentation is retained in accordance with organizational policies and funding requirements.

Accounting Operations

Process accounts payable transactions and ensure invoices are accurately coded and approved.
Prepare and process customer invoices and accounts receivable transactions.
Record cash receipts and accurately apply customer payments.
Prepare routine journal entries and maintain supporting documentation.
Assist with monthly bank and credit card reconciliations.
Support month-end and year-end closing activities.
Prepare payroll-related journal entries and benefit allocation entries.
Maintain organized accounting records and electronic financial files.

Audit & Compliance

Assist in preparing schedules and supporting documentation for annual financial audits.
Support grant audits and compliance reviews by providing requested documentation.
Help ensure compliance with organizational accounting policies, grant requirements, and internal controls.
Identify discrepancies and communicate issues to the Controller.

Collaboration & Continuous Improvement

Collaborate with accounting, grants, and program staff to support financial operations.
Provide administrative support for accounting and grant management activities as needed.
Recommend improvements to accounting and grant administration processes.
Perform other duties as assigned.

Required Qualifications

Bachelor’s degree in Accounting, Finance, Business Administration, or a related field required.
One to three years of progressive accounting, finance, or grant administration experience.
Working knowledge of Generally Accepted Accounting Principles (GAAP).
Experience with accounts payable, accounts receivable, general ledger journal entries, and bank reconciliations.
Proficiency in Microsoft Office Suite, with advanced skills in Microsoft Excel.
Experience using accounting software; experience with SAGE is preferred.
Strong organizational skills with exceptional attention to detail and accuracy.
Excellent analytical, problem-solving, and critical-thinking skills.
Strong written, verbal, and interpersonal communication skills.
Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment.
Ability to maintain confidentiality and exercise sound judgment when handling sensitive financial information.

Preferred Qualifications

Experience working in a nonprofit or grant-funded organization.
Experience with grant accounting, sponsored project administration, or federal grant compliance.
Experience using SharePoint or other electronic document management systems.
Experience supporting annual financial audits and preparing audit schedules.
Familiarity with payroll accounting and employee benefit allocations.

Knowledge, Skills, and Abilities

Knowledge of GAAP and nonprofit accounting principles.
Understanding of grant accounting, budgeting, and financial reporting.
Ability to analyze financial data, identify discrepancies, and recommend solutions.
Strong attention to detail with a high degree of accuracy.
Excellent organizational and time management skills.
Ability to work collaboratively with accounting, grants, and program staff while also working independently.
Proficiency with Microsoft Excel, including formulas, pivot tables, and financial reporting functions.
Commitment to providing exceptional internal customer service and maintaining the highest ethical standards.

Work Environment

This position will be 100% fully remote home-based position. The Junior Accountant/Grant Coordinator will work in a collaborative, mission-driven environment dedicated to advancing healthcare research and improving patient outcomes through sound financial stewardship and effective grant management.
