Full Job Description

Job Position Summary

The Billing/Administrative Coordinator provides administrative and billing support to a fully remote litigation law firm that has grown rapidly. The position reports directly to the Senior Legal Secretary.

This position is responsible for helping the team stay organized, ensuring administrative & legal delivery tasks are completed accurately and timely, and assisting with the firm’s billing and appeals processes.

The ideal candidate is highly organized, detail-oriented, responsive, comfortable working independently in a remote environment and seeking advancement in the administration of a litigation law firm. This position requires strong communication skills, good judgment, the ability to manage multiple priorities, and a willingness to take ownership of assigned responsibilities.

The position is well suited to someone who is willing to learn, takes initiative, and can move comfortably between administrative and billing responsibilities.

Key Responsibilities

Administrative Support

Provide day-to-day administrative support to attorneys and the legal support team.
Communicate proactively with the Senior Legal Secretary.
Monitor and respond to administrative requests, and ensure tasks are completed in a timely manner.
Assist with calendars, schedule meetings, and coordinate appointments as needed.
Assist with onboarding new clients and maintaining accurate matter information.
Assist with conflict checks.
Assist with firm-wide administrative projects and other duties as assigned.
Provide administrative and clerical support as needed.

e-Billing and Appeals

Prepare and submit attorney expense reports.
Prepare and process monthly client invoices.
Coordinate with attorneys and legal assistants regarding edits and revisions.
Prepare and submit invoices to clients using Legal Tracker
Monitor e-bill approval statuses and coordinate timely response to appeal for reduced or rejected invoices.
Correspondence with clients re billing as directed by Senior Legal Secretary.
Process client payments, vendor credits and write-offs.
Ensure passthrough expense info is collected from attorneys, legal assistants, paralegals and vendors and submitted through appropriate channels for complete and accurate billing
Coordinate and communicate with financial team to support payment of invoices and ensure timely inclusion of passthrough expenses on client bills.

Qualifications

Prior experience as an administrative assistant, billing coordinator, or similar role, preferably in a law firm.
Comfortable learning and using legal, billing, document management, and other technology platforms. iManage experience is a plus.
Proficiency with the Microsoft Office suite including Word, Outlook and SharePoint.
Experience with legal billing, e-filing, and document-management software is a plus.
Strong organizational and time-management skills. Ability to manage multiple tasks and deadlines.
Ability to work independently, exercise good judgment, and maintain strict confidentiality.
Exceptional attention to detail and accuracy.
Strong written and verbal communication skills.

Anticipated Salary Range and Benefits

Salary range is $30-$40/Hour, commensurate with experience. We offer a comprehensive benefits package, including health coverage, paid time off, and an opportunity to participate in our 401k plan.

This is a fully-remote position (with staff currently residing in Northern and Southern California).
