Job Summary

We are seeking a proactive and detail-oriented Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to managment and clients alike.

Responsibilities

Manage phone systems, answer inquiries promptly, and direct calls efficiently using professional phone etiquette.
Provide front desk support by greeting visitors, handling check-ins, and maintaining a friendly, professional demeanor at all times.
Organize and maintain office files, records, and documents through accurate filing systems and data entry procedures.
Utilize Microsoft Office Suite, Google Workspace, spreadsheets, and productivity software to prepare reports, correspondence, and presentations.
Assist with calendar management and scheduling appointments for team members or clients to optimize time utilization.
Perform bookkeeping tasks using QuickBooks or similar software to track expenses, invoices, and financial records.
Support office management activities by coordinating supplies, maintaining equipment, and ensuring the office environment remains organized and efficient.
Provide customer service support by responding to client inquiries via phone or email with professionalism and clarity.
Proofread documents for accuracy and clarity before distribution; ensure all communications adhere to company standards.
Support medical or dental reception duties if applicable, including appointment scheduling and patient record management.
Handle personal assistant tasks as needed, including travel arrangements or special project support.

Skills

Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Strong computer literacy across various platforms including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry systems.
Proficiency in QuickBooks for bookkeeping and financial tracking is highly desirable.
Excellent communication skills—both verbal and written—with a focus on professional phone etiquette and client interaction.
Bilingual abilities are a plus to serve diverse client needs effectively.
Experience managing multi-line phone systems and front desk operations with confidence.
Demonstrated office management experience with strong organizational skills for filing, calendar management, and document proofreading.
Ability to handle clerical responsibilities such as typing accurately, maintaining records, and supporting administrative workflows efficiently.
Technical proficiency in computer skills including data entry, spreadsheets creation, proofreading documents, and using productivity software.
Strong time management skills to handle multiple priorities while maintaining productivity standards.

Pay: $20.00 - $24.00 per hour
