About SeoulSkin (What We're Building)

SeoulSkin (www.seoul.skin) is creating a new standard for medical aesthetics in the U.S. : accessible, trusted, and transparent the way it is in Korea.

With Korean-trained nurses, data-driven operations, and fair pricing, our mission is to bring high-quality Korean aesthetic care to the U.S. market.

We currently operate NYC's most affordable at-home Toxin & Rejuran service, and we're looking for a Patient Coordinator to be the operational backbone of our clinic.

What You'll Do

Monitor the daily appointment calendar in real time; confirm arrivals and follow up on no-shows or late clients
Answer incoming calls, texts, and Instagram DMs; respond to FAQs on pricing, services, booking, and post-treatment care
Collect pre-consultation information from arriving clients before they see the provider (medical history, treatment goals, skin concerns, allergy check)
Review upcoming week's schedule daily; identify open slots, double-bookings, or gaps in provider coverage
Proactively fill open slots by reaching out to waitlisted or recent clients
Conduct weekly inventory counts of clinical supplies and update tracking spreadsheet
Prepare supply kits for mobile/visiting providers per standardized checklist
Maintain organized client records and a clean, welcoming front-of-house environment

In short: you'll manage the daily flow of clients, support our clinical team, and ensure every client feels welcomed and informed from the moment they arrive.

Who You Are

Bilingual fluency in English (spoken and written) and Korean (spoken)
1+ year of experience in a customer-facing role (front desk, retail, hospitality, clinic reception, etc.)
Highly organized with strong attention to detail — you catch discrepancies before they become problems
Comfortable with technology: scheduling software, spreadsheets, messaging platforms (Instagram, email, etc.)
Reliable, punctual, and professional appearance with a warm, approachable demeanor

Strong Pluses

Personal experience with or knowledge of aesthetic treatments (Botox, fillers, skin boosters, microneedling, etc.)
Experience in a medical office, medspa, dermatology clinic, or beauty/aesthetics environment
Familiarity with HIPAA and basic patient privacy practices
Sales aptitude — ability to educate clients on services and encourage rebooking without being pushy

Work Style

On-site, NYC clinic
Required shifts: 3~4 days/week (including one weekend)
Preferred availability: Receptionists need to arrive by 8:30 am in the morning for opening.
Candidates will work approximately 38 hours/week (full-time equivalent)
Schedule may be adjusted based on business needs

Scope Boundaries

You will NOT provide clinical advice, diagnose conditions, or recommend specific treatments
You will NOT make purchasing or vendor decisions for clinical supplies
Clinical questions beyond scripted FAQ responses are always escalated to a licensed provider

Compensation & Perks

$20–$22/hr (depending on experience)
