Description: We are seeking an experienced Estate Administration Paralegal who thrives in complex matters, enjoys responsibility, and has the potential to increase responsibilities over time. This position is ideal for someone who enjoys a challenge, can manage a high volume of work with excellence, and brings a hopeful, solution-oriented mindset.

This role is best suited for a professional who not only executes well but also thinks ahead, supports others, and naturally steps into leadership.

Location: Remote (Must be located in Virginia or West Virginia)

Required Experience and Skills:

Prior professional experience in Estate Administration (required)
Experience mentoring, training, or informally guiding others is strongly preferred
Strong written communication skills with attention to detail
Excellent organizational and time‑management abilities
Ability to manage a high workload while maintaining quality
Demonstrated problem‑solving and critical‑thinking skills
Comfortable working independently and as part of a team

Job Responsibilities:

Estate Administration & Client Support:

Conduct estate administration intake and introductory calls
Prepare for and assist with client meetings and consultation calls
Track and manage estate administration deadlines and workflows
Communicate with clients, clerks, commissioners, and other professionals
Review and organize documents received from clients

Drafting & Court Interaction:

Draft estate administration documents, such as petitions, affidavits, and qualification documents
Draft trust administration and related documents as assigned
Assist with guardianship and conservatorship documentation
Provide notarial services as needed

Matter Management & Team Contribution:

Manage estate administration matters with attention to deadlines, details, and client experience
Serve as a resource to other team members by sharing knowledge and best practices
Assist with reviewing workflows, procedures, and processes to improve efficiency and consistency
Support training, quality control, and matter audits as needed
Collaborate closely with attorneys and senior staff to ensure smooth progression of each matter

Administrative & Firm Support:

Answer phones and support intake during assigned periods
Schedule and coordinate client appointments
Assist with internal projects, training, and team initiatives
Participate in internal meetings
