We are looking for an experienced, highly proactive, and resourceful Personal Assistant & Household Coordinator to provide premium administrative, logistical, and personal support to a retired couple and their family.

Key Role Highlights:
Hospitality & Wellness Support: We deeply value high emotional intelligence and empathy. A core component of this role involves providing close, attentive personal support and lifestyle coordination for a principal navigating a chronic health and wellness journey. The ideal candidate approaches one-on-one care, medical appointment logistics, and post-appointment recovery with the utmost discretion, warmth, and comfort.
Active On-Site Presence: While occasional work from home scenarios can be managed, this is primarily an on-site position based out of the Utah residence, as the principals prefer a consistent, supportive face in the home. Because the home's daily rhythm naturally skews later, core hours are typically 10:00 AM to 6:00 PM.
Extensive Local Mobility: This role includes running premium household errands and coordinating logistics with frequent weekly travel between the main residence (Heber, Utah) Layton, and Salt Lake City).

Household Management & Property Styling
- Maintain the home’s daily aesthetic, ensuring spaces are pristine, organized, and seamlessly managed through hands-on tidying and meticulous attention to detail.
Wellness Coordination & Lifestyle Advocacy
- Provide attentive, high-touch care and comfort to a principal during health flares or recovery periods, ensuring nutrition, hydration, and schedule management are seamlessly handled.
- Manage, track, and organize medication schedules and health documentation with absolute precision and privacy.
- Coordinate and drive to medical appointments, acting as a supportive advocate and ensuring follow-up actions are clearly documented and executed.
Administration & Logistics
- Streamline daily administrative operations, including mail organization, basic digital/physical filing, and tracking bill payments.
- Confidently manage fluid communication and keep projects moving by proactively clarifying timelines, priorities, and budgets.
- Assist with charitable initiatives, helping coordinate communications and special local events.
- Proactively oversee household inventories, manage grocery procurement, run high-touch local errands, and coordinate prescription pickups.
- Act as the on-site point of contact for home maintenance vendors and property logistics.
- Coordinate cross-state property needs and travel transitions in tandem with a counterpart assistant based in Florida.
- Provide occasional, dedicated pet-sitting and care for a friendly Chocolate Labrador.
- Experience: 5+ years of proven experience as a Personal Assistant, Luxury Lifestyle Manager, or high-end Private Estate Coordinator (Preferred).
- Technical Skills: 5+ years of experience working with spreadsheets (Required); high proficiency with Google Suite, MS Office, or equivalent administrative tools.
- Communication Style: Naturally articulate, assertive, and direct. You excel at asking the right questions to establish priorities in an environment that values flexibility and patience.
- Absolute Discretion: Proven integrity and the ability to handle highly sensitive personal, financial, and medical information with strict confidentiality.
Qualifications & Experience
- Experience: 5+ years of proven experience as a Personal Assistant, Luxury Lifestyle Manager, or high-end Private Estate Coordinator (Preferred).
- Technical Skills: 5+ years of experience working with spreadsheets (Required); high proficiency with Google Suite, MS Office, or equivalent administrative tools.
- Communication Style: Naturally articulate, assertive, and direct. You excel at asking the right questions to establish priorities in an environment that values flexibility and patience.
- Absolute Discretion: Proven integrity and the ability to handle highly sensitive personal, financial, and medical information with strict confidentiality.
- Mobility & Transit: Must reside locally in Utah, possess a valid driver’s license with a clean driving record, and have a reliable all-wheel/4-wheel drive vehicle completely suited for adverse winter driving conditions. Must be legally cleared for potential short-notice international travel. Ability to legally travel internationally.
Schedule & Work Location
Core Schedule: Monday to Friday, generally aligned to 10:00 AM – 6:00 PM. Weekends and occasional evening flexibility required as needed based on travel or medical schedules
Benefits & Requirements
- Salary: $60,000.00 per year
