Full Job Description

Position Summary

Rubicon is seeking a motivated and organized Junior Operations Manager to support the daily operations of our landscape maintenance, enhancement, irrigation, snow removal, and construction divisions. This role serves as a bridge between administrative functions and field operations, providing support to Operations Managers while developing leadership skills necessary for future advancement.

The ideal candidate is highly organized, detail-oriented, and eager to grow into a leadership role. They will assist with scheduling, vendor coordination, purchasing, job costing, fleet coordination, and field support while helping ensure crews are equipped and prepared to deliver exceptional service.

Key Responsibilities

Operations Coordination

Assist in maintaining daily and weekly crew schedules.
Support workforce planning to ensure crews are properly staffed.
Coordinate resources, materials, and equipment for upcoming projects.
Monitor production schedules and assist in resolving operational issues.
Communicate schedule changes and updates to field teams.

Administrative Support

Process and track purchase orders, invoices, and vendor payments.
Reconcile material purchases and project-related expenses.
Maintain accurate operational records and documentation.
Assist with job costing and budget tracking.
Prepare reports, spreadsheets, and operational dashboards.

Vendor & Material Management

Coordinate material deliveries and equipment rentals.
Communicate with vendors and subcontractors regarding schedules and pricing.
Track inventory levels and assist with purchasing needs.
Help negotiate pricing and ensure timely procurement of materials.

Field Support

Conduct occasional site visits to support Operations Managers.
Assist with quality control inspections and project follow-up.
Ensure crews have necessary equipment, materials, and documentation.
Support implementation of company safety programs and policies.

Team Leadership & Development

Serve as a point of contact for crew leaders and field employees.
Help train and onboard new employees on operational procedures.
Promote accountability, professionalism, and teamwork.
Develop leadership skills through hands-on operational involvement.

Fleet & Equipment Coordination

Work with the Fleet Manager to schedule maintenance and repairs.
Assist with tracking vehicle assignments and equipment utilization.
Ensure required inspections and documentation are completed.

Qualifications

Required

1–3 years of experience in landscaping, construction, snow removal, field operations, or administrative operations support.
Strong organizational and time management skills.
Excellent communication and problem-solving abilities.
Proficiency in Microsoft Excel and Microsoft Office.
Ability to work in a fast-paced environment and manage multiple priorities.
Valid driver's license and clean driving record.
Bilingual English/Spanish.

Preferred

Experience with landscaping, irrigation, enhancement, snow removal, or construction operations.
Experience with job costing, purchasing, or scheduling.
Knowledge of fleet, equipment, and vendor management.
Experience using Paycom, Aspire, LMN, or other operational software systems.
Associate's or Bachelor's degree in Business, Construction Management, Landscape Management, or related field.

Schedules maintained accurately and communicated effectively.
Materials and equipment available when needed.
Purchase orders and vendor invoices processed accurately and timely.
Positive communication with crews, vendors, and clients.
Support of operational efficiency, safety, and profitability goals.
Demonstrated growth toward full Operations Manager responsibilities.

Pay: $40,000.00 - $60,000.00 per year
