Full Job Description

A private family in Utah County is hiring a full-time Household & Estate Manager to serve as the single owner’s representative for everything related to our homes, properties, vehicles, and household operations. You will be the hub: the one person who ensures things get fixed today, maintained before they break, and done right the first time.

This is not an administrative or desk job. It is a hands-on operations role for someone who thinks like an owner — a former property manager, facilities manager, small general contractor, service-industry operator, or military/logistics professional who takes personal pride in a well-run physical environment.

The portfolio includes a newly completed primary residence (a substantial custom home with amenities described below), a townhouse, a single-family rental in Orem with tenants, vehicles, pets, and the general administrative life of a busy family.

What Matters Most (Read This First)

Speed. When something breaks, you respond the same day — often the same hour. “Quickly” means finding a vendor who can come TODAY, not Thursday. You drop what you’re doing and solve the problem now.
Quality. Most contractors do mediocre work. You will build and maintain a vetted bench of plumbers, HVAC techs, electricians, landscapers, cleaners, and specialty trades BEFORE we need them, so that emergencies are dispatched to known, trusted people. You inspect the work. You do not accept “good enough.”
Proactive judgment. You notice the thing nobody asked you about. If you take a vehicle in for tires and the steering makes a slight noise, you have it looked at. If the water heater is 12 years old, you flag it before it floods the basement. You run the maintenance calendar so the family never has to think about it.

Primary Residence — Facility Oversight

We are moving into a newly completed custom home in approximately three months. A facility/property management company will perform much of the scheduled maintenance; your job is to manage that relationship, hold them to standard, verify work is actually done, and own everything that falls outside their scope. Systems and areas under your oversight include:

Pool and spa — service schedule, water chemistry verification, equipment condition, seasonal transitions
MLS-grade natural turf backyard — mowing, fertilization, irrigation, and turf-health program coordination with specialty vendors
Landscaping and grounds — crews, seasonal plantings, irrigation systems, snow removal
Window washing — the home has an unusually large amount of glass; establish a recurring interior/exterior program with a vendor equipped for high/large panes
Metal roof — periodic cleaning and inspection program appropriate to a large standing-seam metal roof
Water softener and water systems — salt/media scheduling, filtration maintenance
Utilities — account management, monitoring for anomalies (usage spikes, leaks), and coordinating any service work
Indoor sport court, HVAC, smart-home, security, and general building systems — preventive maintenance calendars, warranty tracking, and punch-list follow-through with the builder during the warranty period

Properties, Vehicles & Household Operations

Coordinate all repairs and improvements across the residence, townhouse, and rental property — sourcing bids (e.g., water heaters, garage doors), scheduling, supervising, and inspecting completed work
Manage the Orem single-family rental: tenant relations, service requests, turns, and vendor dispatch
Handle urgent failures personally and immediately (no-AC-in-July class problems get a tech on site the same day)
Schedule and oversee recurring cleaning for all properties
Vehicles: registration renewals, routine servicing, tires, repairs — including transporting vehicles to and from shops
Mail, bills, and payments: open and triage mail; pay household, medical, property tax, and vendor bills accurately and on time; keep organized records
Insurance: request policy information, shop coverage (e.g., umbrella policies), and manage annual reviews with brokers
Appointments and bookings: medical/optometry appointments, travel and hotel bookings, and similar personal scheduling
Pets and animals: regular vet visits for the family cat (including routine nail trims), and feeding the cat and chickens when the family travels
Neighbor and community matters handled graciously (e.g., arranging repair of a neighbor’s fence)
Miscellaneous errands and projects — the list above is representative, not exhaustive

How the Work Flows

Task volume is lumpy by nature: some weeks are 25+ hours of active work, others are quiet. You are compensated for availability and ownership, not hours logged. During quiet stretches you are expected to generate your own backlog — vendor vetting, preventive maintenance, documentation of home systems and warranties, cost reviews — rather than wait for assignments. Quiet weeks are when you prevent the next emergency.

On-call responsiveness during business hours, with reasonable availability for true emergencies on evenings/weekends
Primarily field-based in Utah County; reliable personal vehicle required (mileage reimbursed)
Reports directly to the principals; operates with a household budget and spending authority for routine items

Who You Are

5+ years in property management, facilities, construction/trades supervision, estate management, or an equivalent operational role
Strong working knowledge of residential systems — HVAC, plumbing, electrical, roofing, irrigation, pools — enough to diagnose, scope, and know when a contractor is cutting corners
A demonstrated vendor network in Utah County, or the resourcefulness to build one fast
Meticulous with money and records; comfortable managing bill payment and budgets with total accuracy
Absolute discretion — you will have access to the family’s home, finances, and personal affairs; confidentiality is non-negotiable and an NDA is required
Trustworthy around children, pets, and property; comfortable with animals
Clean driving record and background check
A bias toward action and a genuine allergy to “I’ll get to it next week”

Compensation & Benefits

$65,000–$90,000 base salary, depending on experience and depth of facilities/trades knowledge
Mileage reimbursement and a company card for household purchases
Paid time off, coordinated around family travel where possible
