Compensation: $17-$20 per hour plus bonuses, based on experience

The Position
We are seeking a dependable, organized, and proactive Assistant Rental Manager to support the daily operations of our rental portfolio.
This is a hands-on position that combines office administration, tenant communication, rental coordination, maintenance follow-up, property inspections, and recordkeeping. The Assistant Rental Manager will work closely with the Rental Manager and company leadership to help maintain positive tenant relationships, reduce vacancies, coordinate property needs, and keep rental records accurate and up to date.
The ideal candidate is comfortable working with the public, managing multiple priorities, solving problems, and following through until each task is completed.
Primary Responsibilities
- Respond to rental inquiries by telephone, email, and online messaging.
- Provide approved information about available rental properties and application procedures.
- Schedule rental showings, inspections, move-ins, move-outs, and property appointments.
- Assist with marketing available rental units, including updating listings, photographs, property details, and availability.
- Receive and process rental applications according to company policies and applicable requirements.
- Assist with verifying applicant information, rental history, employment, income documentation, and references.
- Maintain accurate applicant, tenant, lease, property, and vendor records.
- Prepare leases, renewals, notices, checklists, and other rental documents for review and approval.
- Coordinate lease signings, security deposits, keys, move-in instructions, and required documentation.
- Conduct or assist with move-in, move-out, and routine property inspections.
- Take clear photographs and maintain written documentation of property conditions.
- Receive tenant maintenance requests and enter them into the company’s management system.
- Help determine the urgency of maintenance requests and route them to the appropriate manager, contractor, or vendor.
- Schedule contractors and vendors, provide access information, and follow up on open work orders.
- Communicate maintenance updates to tenants, owners, managers, and vendors.
- Assist with coordinating apartment turnovers, cleaning, repairs, inspections, and preparation for new tenants.
- Track lease expiration dates, renewals, rent balances, maintenance items, inspection schedules, and other important deadlines.
- Send approved reminders and follow-up communications regarding rent, lease documents, appointments, and tenant responsibilities.
- Assist with collecting and organizing vendor estimates, invoices, receipts, photographs, and completed-work documentation.
- Help prepare rental reports, occupancy updates, maintenance summaries, and other management information.
- Maintain professional and respectful communication with tenants, applicants, property owners, vendors, and members of the public.
- Follow company policies relating to applicant screening, confidentiality, documentation, safety, and fair housing.
- Assist the Rental Manager with daily priorities, special projects, and other rental operations as needed.
This position does not include negotiating lease terms, providing legal advice, or performing activities that require a real estate license unless the employee is properly licensed and authorized to do so.
Qualifications
- At least one year of experience in property management, rentals, real estate, office administration, housing, maintenance coordination, hospitality, or customer service is preferred.
- Strong organizational skills and consistent follow-through.
- Excellent written and verbal communication skills.
- Professional and respectful when communicating with tenants, applicants, owners, contractors, and the public.
- Ability to manage multiple work orders, appointments, deadlines, and follow-up items at the same time.
- Comfortable handling difficult conversations and resolving problems calmly and professionally.
- Strong attention to detail when preparing documents, entering information, and maintaining records.
- Proficiency with email, online calendars, Microsoft Office or Google Workspace, and basic spreadsheets.
- Ability and willingness to learn property management, rental-listing, document-management, and communication software.
- Ability to take clear property photographs and prepare accurate inspection notes.
- Good judgment when handling confidential applicant, tenant, owner, and financial information.
- Ability to work independently while also communicating effectively with managers and team members.
- High school diploma or equivalent required.
- A current New York real estate license is preferred but not required.
- Must have a valid driver’s license.
- Must be able to travel locally to rental properties during the workday.
- Must be able to perform on-site property visits and inspections, with reasonable accommodation.
- Must be able to work in the Rome office Monday through Friday from 8:00 a.m. to 5:00 p.m.
