Position Summary
The HR Coordinator provides administrative and operational support to the Human Resources Department across Masonic Care Community. This position assists with recruitment, onboarding, employee support, personnel records, benefits and payroll coordination, regulatory requirements, and general HR operations.
The HR Coordinator serves as a welcoming and professional point of contact for applicants, new hires, employees, and managers while maintaining confidentiality and ensuring HR processes are completed accurately and on time.
Core Responsibilities
Recruitment and Hiring
- Post open positions on approved job boards and recruiting platforms.
- Review applications and resumes to identify qualified candidates.
- Conduct initial applicant screening and coordinate interviews.
- Maintain communication with candidates throughout the hiring process.
- Prepare interview materials and assist with job fairs and recruitment events.
- Maintain accurate applicant tracking and recruitment records.
- Assist with reference checks and pre-employment requirements.
Onboarding and Pre-Employment
- Coordinate the onboarding process for new employees.
- Prepare and distribute new-hire paperwork and onboarding instructions.
- Schedule pre-employment appointments, orientation, and required training.
- Process background checks, criminal history checks, exclusion screenings, and other required clearances.
- Verify professional licenses, certifications, education, and employment eligibility.
- Monitor completion of medical documentation and other pre-employment requirements.
- Ensure new-hire information is entered accurately into the HRIS and related systems.
- Maintain communication with new employees and department leaders before the employee’s start date.
Employee Support
- Respond to routine employee questions regarding benefits, payroll, policies, timekeeping, and HR procedures.
- Direct employees to the appropriate HR representative when additional assistance is needed.
- Provide employees with requested forms, policies, and employment information.
- Assist with benefit enrollment, qualifying life events, and employee status changes.
- Support employee engagement, recognition, and organizational events.
- Promote a positive and professional employee experience.
HR Records and Data Management
- Create, update, and maintain confidential employee personnel files.
- Enter employee information, status changes, compensation changes, and other updates into the HRIS.
- Audit HR records to ensure information is complete, accurate, and compliant.
- Maintain required documentation for licenses, certifications, training, evaluations, and health requirements.
- Assist with employee file retention, archiving, and secure record disposal.
- Prepare routine HR reports and spreadsheets as requested.
- Protect confidential employee and organizational information.
Payroll and Benefits Support
- Assist with submitting new-hire, termination, position, pay, FTE, schedule, supervisor, and department changes.
- Review employee information for completeness before payroll processing.
- Coordinate with Payroll to help resolve routine employee questions or discrepancies.
- Assist with benefit enrollment documentation and employee communications.
- Maintain accurate records related to employee eligibility and benefit elections.
Compliance and HR Operations
- Support compliance with federal and New York State employment requirements.
- Assist with required healthcare background checks, professional license verification, and exclusion screening.
- Monitor expiration dates for licenses, certifications, and required employee documentation.
- Assist with audits, surveys, and requests for HR documentation.
- Maintain knowledge of HR policies, procedures, and applicable employment requirements.
- Provide administrative support for employee relations matters, meetings, investigations, and corrective actions as directed.
- Complete other Human Resources responsibilities and projects as assigned.
Required Education and Experience
- Associate degree in Human Resources, Business Administration, or a related field preferred.
- One to three years of administrative, Human Resources, recruitment, or related experience preferred.
- Experience in healthcare, long-term care, senior living, or a regulated environment is preferred.
- Experience using an HRIS, applicant tracking system, payroll system, or electronic employee record system is preferred.
- Equivalent combinations of education and relevant experience may be considered.

- Proficiency with Microsoft Word, Excel, Outlook, and related office technology.
- Ability to learn and effectively use HR, payroll, recruitment, and onboarding systems.
- Sound judgment and the ability to escalate concerns appropriately.

The base annual salary range for this position is $22 - $28 per hour commensurate with work location, experience, skills, certifications, education & prior accomplishments.
The position may be eligible for additional compensation not listed here, including but not limited to shift differentials, incentives or bonuses, as applicable.
