Full Job Description

VIA Actuarial Solutions is an independent actuarial consulting firm (16 employees) that works with employers to manage their pension and retiree healthcare plans. We also build specialized actuarial models that solve unique business challenges. Our mission is to use our expertise to develop innovative and practical actuarial solutions that help our clients understand and manage their financial risks.

The VIA Actuarial Solutions team is currently seeking an organized, detail-oriented, and experienced Office Manager to keep our financial and administrative operations running smoothly. This role is the backbone of our day-to-day operations: handling bookkeeping and financial transactions with care, coordinating with our HR and IT vendors, and providing general administrative support across the team. No actuarial or industry-specific experience is required. We're looking for strong administrative and bookkeeping fundamentals above all else.

Essential Duties and Responsibilities

Bookkeeping & Financial Administration (highest priority)

Maintain accurate day-to-day bookkeeping in QuickBooks Online, including reconciliations and financial recordkeeping
Process and securely deposit checks in a timely manner
Assist with monthly client and vendor billing/invoicing
Support month-end and year-end financial and tax processes as needed

HR & IT Coordination

Serve as the primary point of contact and liaison with our outsourced HR vendor and broker for payroll processing/review, benefits administration, compliance questions, and employee onboarding logistics
Serve as the liaison with our outsourced IT vendor for account setup, equipment coordination, and basic troubleshooting requests
Coordinate with other outside vendors as needed

General Administrative Support

Schedule meetings and organize both in-person and virtual team building events to maintain comradery in the remote work environment
Provide occasional support to our client call center during peak periods
Handle miscellaneous administrative tasks and special projects as they arise
Identify opportunities to streamline or automate recurring administrative processes
Assist management with financial reporting and business development initiatives

Required Qualifications

2+ years of bookkeeping experience, with hands-on proficiency in QuickBooks Online
Bachelor’s degree or an equivalent combination of education and experience
Demonstrated experience handling financial transactions accurately and securely
Strong organizational skills and ability to manage multiple priorities independently
Comfortable working in a fully remote environment with minimal in-person supervision
Clear, professional written and verbal communication skills
Proficiency with standard business software (Microsoft Office, including Teams video conferencing) and willingness to learn and embrace new technologies to enhance our operational efficiency

Proactive and resourceful: comfortable troubleshooting, flagging issues before they become problems, and finding solutions
Strong follow-through on tasks with minimal need for reminders
Comfortable acting as a liaison/coordinator across multiple vendors and stakeholders without needing to be the subject-matter expert in each area
A collaborative approach: willing to pitch in on tasks outside a narrow job description when the team needs it

Benefit Eligibility

This position is part-time to start (estimated 20 -25 hours/week), with potential for growth in hours over time. Benefits eligibility will be determined based on the final schedule established with the selected candidate.

Remote Work

We are a remote-first company, with occasional in-person gatherings to support team collaboration. Key expectations of our remote-first culture are:

Flexible daily work hours, as long as employees are generally online and available during a majority of “core” business hours. Note that client call center hours may be more structured than other work.
Requires a home office setup with fast internet connection and minimal distractions that is conducive to productive, uninterrupted work. Recommended internet connection should be at least 75Mbps download/25Mpbs upload.
Willingness to consistently and regularly use Microsoft Teams and other communications tools to build working relationships with colleagues.
VIA will provide remote workers with workstation equipment (laptop, external monitors, other peripherals).

Pay: $30.00 - $38.00 per hour
