Full Job Description

Position Summary

Cauthan Construction Company, Inc. is seeking a friendly, organized, and dependable Receptionist / Administrative Assistant to serve as the first point of contact for our office. This role is responsible for managing the front desk and main phone line while providing administrative support across multiple departments, including accounting, project management, and operations — including coordinating with subcontractors on insurance documentation. The ideal candidate is a proactive multitasker with strong communication skills, a professional demeanor, and the ability to shift priorities smoothly in a fast-paced construction office environment.

Key Responsibilities

Front Desk & Phone

Greet and direct visitors, vendors, subcontractors, and clients in a warm, professional manner.
Answer, screen, and route incoming calls on a multi-line phone system; take and relay accurate messages.
Maintain a clean, organized, and welcoming front lobby and reception area.
Sign for and distribute incoming deliveries, mail, and packages; prepare outgoing mail and shipments.
Manage visitor sign-in procedures and enforce site/office security and safety protocols.
Schedule and coordinate conference room use and assist with meeting setup as needed.

Administrative Support

Provide day-to-day administrative assistance to project management, accounting, and operations teams as workload requires.
Enter and update data in company systems (project files, spreadsheets, databases) with accuracy and attention to detail.
Prepare, format, and proofread correspondence, reports, and other documents.
Assist with filing, scanning, and organizing both digital and paper records.
Order and maintain inventory of office supplies and coordinate with vendors as needed.
Complete other administrative and clerical duties as assigned by management.

Subcontractor & Billing Support

Collect, track, and review subcontractor certificates of insurance (COIs) to confirm coverage meets company and project requirements.
Follow up with subcontractors on expired, missing, or non-compliant insurance documentation and maintain an up-to-date compliance log.
Maintain organized digital and physical files of subcontractor insurance certificates, billing records, and related correspondence.

Qualifications

High school diploma or equivalent required; Associate's degree preferred.
1-3 years of experience in a receptionist, front desk, or administrative support role.
Proficiency with Microsoft Office (Word, Excel, Outlook) and general office equipment.
Excellent verbal and written communication skills.
Strong organizational skills with the ability to manage multiple priorities and departments simultaneously.
Professional appearance and demeanor with a customer-service mindset.
Ability to maintain confidentiality of sensitive company and financial information.
Strong attention to detail, particularly when reviewing insurance certificates or billing documents for accuracy.

Preferred Attributes

Comfortable working independently and taking initiative when priorities shift.
Team-oriented, with a positive, can-do attitude toward cross-department requests.
Quick learner able to pick up new software and office procedures.
Experience with Microsoft PowerPoint a plus.

Work Environment & Physical Requirements

Primarily an office environment; regularly seated at a front desk workstation.
Occasionally required to lift and move office supplies or packages up to 20 lbs.
Standard business hours, Monday through Friday, with occasional flexibility needed for company events.
