Payroll Accounting Specialist

Location: Valencia, CA
Job Type: Full-Time

About the Position

Summit Electric is looking for an organized and dependable Payroll Accounting Specialist to support our day-to-day payroll, accounting, and administrative operations.

This position will work closely with our Office Manager to process weekly payroll, complete account reconciliations, oversee our automated invoice-matching process, and assist with basic HR and administrative responsibilities.

The ideal candidate is detail-oriented, comfortable working with numbers and software, and able to handle sensitive employee and financial information professionally.

Key Responsibilities

Work closely with the Office Manager to support payroll, accounting, and administrative operations
Review employee time entries for accuracy and completeness
Process weekly payroll accurately and on time
Identify and resolve missing hours, incorrect pay rates, and payroll discrepancies
Maintain payroll records, deductions, reimbursements, and employee information
Reconcile bank accounts, credit cards, payroll accounts, and other financial records
Oversee the software-assisted invoice-matching process
Review invoices automatically matched against purchase orders, receipts, and supporting documentation
Investigate exceptions flagged by the software and resolve discrepancies
Verify invoice approvals and proper job or cost coding
Help maintain accurate vendor and purchasing information within the system
Organize and maintain accurate financial and employee records
Assist the Office Manager with employee onboarding and offboarding documentation
Maintain personnel files and track required employment documents
Respond to basic employee questions regarding payroll, timekeeping, and company procedures
Provide general administrative support to the Office Manager, accounting team, and company leadership
Protect confidential employee and company information

Qualifications

Previous experience with payroll, bookkeeping, accounts payable, or accounting administration
Strong attention to detail and accuracy
Comfortable working with accounting software and automated processes
Ability to review software-generated results and identify potential errors
Ability to investigate discrepancies and follow through until they are resolved
Strong organizational and time-management skills
Ability to collaborate effectively with the Office Manager and other team members
Professional communication and discretion when handling sensitive information
Proficiency with Microsoft Excel and general office software
Experience with QuickBooks Online and payroll or timekeeping systems is strongly preferred
Construction or service-company accounting experience is a plus
