Full Job Description

Kiddie Academy of Briarcliff Manor is seeking a highly organized, dependable, and personable Administrative Coordinator to help manage the day-to-day administrative operations of our Childcare Center. This position plays an important role in keeping the front office, enrollment records, staff documentation, family communication, and center operations organized and running smoothly. This role will work hand-in-hand with the Owner and Assistant Director to ensure the Academy is running smoothly. The Administrative Coordinator will also serve as a backup classroom support person when staffing needs arise, including teacher callouts, breaks, meetings, or unexpected coverage needs. Hours are typically 7am - 3pm with the ability to be flexible.

The ideal candidate is someone who takes initiative, enjoys keeping things organized, communicates well with families and staff, and is comfortable shifting priorities in a busy childcare environment.

Administrative & Front Office

Answer phones/emails, greet families and visitors, staff the front desk
Track attendance, late arrivals, early pickups, absences
Maintain children's files; flag missing or expired documentation
Collect health records, emergency contacts, authorized pickups, and required forms
Maintain staff files (certifications, physicals, clearances, training) and track renewal deadlines
Keep shared calendars and contact lists current

Enrollment & Family Communication

Prepare enrollment/registration packets; assist with tour scheduling
Maintain classroom enrollment and wait lists
Update family/child records in the childcare-management system and FAMS
Create calendars, reminders, flyers, and other communications
Post approved announcements via the parent app
Field routine family questions on procedures, schedules, and events

Staffing & Employee Support

Build staff schedules per admin-approved coverage plans
Find callout coverage using the approved staff-contact list
Prepare onboarding packets; assist with interview scheduling and reference checks
Track training requirements and renewal deadlines; ensure staff meet documentation deadlines

Operations & Compliance

Maintain visitor, drill, maintenance, and incident logs
Prep documentation for licensing, corporate, and health department visits
Keep electronic/physical records organized; ensure classrooms meet paperwork deadlines
Order and track supplies; flag reorders
Coordinate vendors, enrichment programs, photographers, and events
Support center events and special projects
Maintain strict confidentiality

Classroom Coverage
Primarily administrative, but stepping into classrooms is core to the role:

Cover callouts, breaks, meetings, and busy transitions across infant–pre-K rooms
Engage children warmly; support meals, diapering/toileting, rest, and activities
Maintain active supervision and follow health/safety procedures and Lead Teacher plans
Return to admin duties once coverage ends

Candidates must be comfortable with the fact that classroom needs can change unexpectedly. On some days, this position may be primarily administrative; on other days, more significant classroom coverage may be necessary.

Qualifications

High school diploma or equivalent required
Associate's degree or coursework in Early Childhood Education, Education, Business Administration, or a related field is a plus
Previous administrative, school, childcare, office-management, or similar experience
Previous experience working with infants and/or young children strongly
Must meet all requirements to work in a licensed childcare program
Must successfully complete all required background checks and clearances
CPR and First Aid certification preferred or willingness to obtain
Strong computer skills and comfort learning childcare-management and compliance systems
Excellent organizational and record-keeping skills
Strong written and verbal communication skills
Professional and welcoming when communicating with families
Ability to maintain confidentiality
Strong attention to detail and ability to identify missing information or upcoming deadlines
Ability to manage multiple priorities in a fast-paced environment
Dependable, punctual, and reliable
Comfortable taking initiative and completing tasks independently
Able to communicate professionally with staff while also following the direction of center leadership
Flexible and willing to step in wherever needed to support center operations
