Timekeeping & Payroll Specialist

Schedule / Expected Hours: 40 hours per week, In-Person (No hybrid/remote work)

Location: Jamaica, NY 11423

Job Type: Full-time

Pay: Non-Exempt, $30.00 - $36.00 per hour (DOE)

Reports to: Payroll Manager

Position Summary

The Timekeeping & Payroll Specialist is responsible for managing daily time and attendance reporting, maintaining accurate employee attendance records, and supporting payroll processing activities. This role serves as the primary point of contact for attendance data management and works closely with Operations to ensure accurate and timely attendance logs. The position also functions as the backup to the Payroll Manager and is expected to process payroll independently when required.

Key Responsibilities

Review, validate, and maintain employee timekeeping records including hours worked, overtime, attendance adjustments, PTO, leaves of absence, and other pay codes.
Analyze timekeeping data, identify and resolve discrepancies, maintain accurate timecard records, and report findings to management.
Monitor employee attendance, schedules, and compliance with company policies and labor regulations.
Coordinate with Operations Managers and Supervisors to validate and finalize attendance records and ensure timely completion of corrections prior to payroll processing.
Generate recurring and ad hoc reports for management as needed.
Assist with timekeeping-related inquiries from employees and management.

Payroll Support

Assist with weekly payroll preparation, review, and processing to ensure accuracy, completeness, and compliance.
Support payroll audits and maintain payroll documentation.
Assist with payroll-related inquiries from employees and management.
Ensure payroll deadlines are consistently met and payroll records are accurately maintained.

Qualifications/ Skills

Minimum 2 years of experience in payroll, timekeeping, attendance administration, or related HR/payroll functions.
Strong experience with ADP WFN (Or similar platforms like Paycom, Paychex Flex.) payroll and time & attendance systems.
Experience processing payroll or supporting payroll operations.
Advanced Microsoft Excel skills, including: VLOOKUP/XLOOKUP, Conditional Formatting, Data Analysis and Reporting, Advanced Formulas and Functions (Mandatory)
Strong analytical and problem-solving abilities.
Excellent organizational skills and attention to detail.
Prioritize work assignments and multitask within strict deadlines.

Pay: $30.00 - $36.00 per hour
